The Company:
Our client is a global operaor working on large projects.

The Role:
JOB DESCRIPTION:

Carry on the tasks of End-2-End correspondence workflow for all official incoming and outgoing correspondence as per Majnoon Correspondence, control procedures and communication protocol guideline.

Responsibilities:

1. Monitor SIPD correspondence mailbox and action requested correspondence as per distribution list

2. Arrange translation of all outgoing / incoming correspondence.

3. Collect information and maintain all details needed to process the correspondence such as distribution list, addresses, accounts, updates, timelines … etc.

4. Dispatch all correspondence to distribution list / action parties as per correspondence protocol.

5. Obtain required comments, approvals and signoffs.

6. File all correspondence electronic/hardcopies following the correct procedures.

7. Maintain a tracking sheet for every incoming and outgoing official correspondence.

8. Capture the team’s comments on the responses and send reminders for timely outgoing response to incoming inquiries.

9. Ensure correspondence meet Majnoon project standards and are produced within the required timeframe.

10. Optimize and improve SIPD correspondence templates and roll out to internal stakeholders Issue correspondence numbers, label, format, and scan correspondence

11. Prepare weekly list of outstanding correspondences

12. Run a cross check of completed translation jobs against translation report sent by vendor

13. Assist in urgent translation/ proof reading if required

ACCOUNTABILITIES:

- Ensure accurate procedure
- Comply with Shell policy, confidentiality and regulations.

ADDITIONAL COMMENTS/
SPECIAL CHALLENGES:

- Strong language skills are necessary for translation and editing of the drafted material.
- Knowledge of publication formats applicable in the project .

EXPERIENCE and QUALIFICATIONS REQUIRED:

- Minimum 3-4 years of experience in Administration / translation or Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
- Experience in handling Correspondence, technical
documents
- He/she must be a good team player.
- Excellent communication and interpersonal skill.
- Handling work complexity and problem solver.
- Strong computer Literacy and working Knowledge of MS standard applications.

Key characteristics:
Native Arabic & English languages (Excellent spoken/written is a MUST)
