The Company:
Our Client is a global Energy Leader with a strong commitment to Honest and Ethical Business Practices within the Oil and Gas Industry. Our Client operates as an independent energy company. It has four segments: Oil and Gas, Syncrude, Energy Marketing, and Chemicals. The Oil and Gas segment explores, develops, and produces crude oil, natural gas, and related products.

The Role:
Provide all aspects of administrative support to Manager, and Team Leads of the administration team.

Confident in undertaking work of a complex and confidential nature.

Take responsibility to ensure all deadlines are being met for preparation of reports and meetings.

Create and review departmental administrative processes, in line with UK admin procedures.

Coordinate all aspects of meetings, training, team-building and conferences both internally and externally, including minute/action taking.

Provide work direction or assistance to more junior admin/clerical personnel.

Collate information and create presentations and reports.

Act as a focal point for all departmental administration.

Maintain departmental registers, charts, contact lists, etc.

Assist with the preparation of department budgets.

Collate and maintain the department Microsoft Project Plan.

Co-ordinate the preparation of the key decisions report (Risk Radar).

Must be an active participant of the monthly UK Administration meeting.

Other duties as and when required by management/Team Leaders, SAP Processes and Planning Lead, e.g. Maintenance reporting in SAP and input into MAH in a timely manner.

Essential Skills / Qualifications:
A Level/Degree/Secretarial qualifications or equivalent.

Fluent in Excel, Word, Outlook and PowerPoint (experience with project management software such as Microsoft Project or Primavera would be an advantage, as well as a knowledge of ActionBase).

Willingness to train in relevant industry knowledge and experience required in an upstream oil and gas company.

Experience of working cross functionally and with multi disciplinary teams.

Strong analytical skills and an ability to manipulate large & complex data.

Confident dealing with colleagues at all levels of the organisation including senior management.

An ability to work to tight deadlines and to self-manage competing priorities.

A ‘can do’ attitude and the ability to stay calm under pressure.

Willing to work proactively to resolve issues to achieve desired outcomes.

Displays honesty, integrity and a strong sense of ethics in all decision and actions and displays a strong personal commitment to upholding the
