The Company:
Big Oil and Gas company is looking for Document Control Specialist

The Role:
The main functions of Document Control Specialist are the following:
1 Maintain the Company system for internal and external issuing, tracking and reporting status of drawings, specifications, and engineering documents. Proactively suggest improvements to the system to streamline processes and enhance.
2 Implement and maintain procedures to support the Management of Change process.
3 Maintain the Engineering Technical Library.
4 Assist regional offices as needed to keep their technical libraries current.
5 Interact with GIS Specialists, and Company Technology department as needed for system troubleshooting, enhancements, etc.
6 Provide user assistance for locating library materials and answering reference needs.
7 Process and track any new vendor documents.
8 Retrieve and deliver archived materials. Maintain documentation of archived materials.
9 Ensure that manuals (plans, procedures, manuals) are correctly updated, and are filed accurately and orderly.
10 Maintain quality control of bulk copy work done by third parties.
11 Record and store incoming and outgoing correspondence (letters, transmittals, MEMOs etc). Informing PMT staff on documentation received in line with document distribution matrix.
12 Maintain database for contractors’ documentation review
13 Document Control Specialist shall continuously deepen and expand his/her knowledge of document controls and database maintenance.
14 In accordance with the established procedure familiarize, know, comply with and undergo, if set forth in Company procedures, training and testing under the following Company standards and regulations:
• Code of Business Conduct;
• Business Principles;
• Health, Safety and Environment Policy;
• Internal Regulations;
• Alcohol and Drugs Policy;
• Occupational Safety Standards and Manuals;
• Quality Management System Documents;
• Other Company standards and procedures, if such standards and procedures and also training and testing are accepted by Company management as mandatory for employee.
2.15 Within time-frame established by Company procedures undergo retraining and retesting on occupational safety on work place, fire and electrical safety.

Essential Skills / Qualifications:
To perform his/her duties, the Document Control Specialist should:
1 Higher education;
2 Should have at least 2 years of work experience in Document Control;
3 International project experience is preferable;
4 Be attentive, capable of handling monotonous activities requiring focus;
5 Ability to work within a team and coach others where necessary;
6 The ability to work as part of a team and to effectively interact with a variety of personnel;
7 Proficient in written and oral English and Russian;
8 Proficiency with Computer programs; Word, Excel, PowerPoint, Email, Visual Basic for Applications, MS SQL Server, MS Access programming, SharePoint;
9 Be willing to learn & to train.
