The Role:
Providing general assistance in all aspects of Document Control activities.

Supervisory and Managerial Duties:
o Deputising for Senior document controller when required

Main Duties:
o Filing of project documents and drawings in conjunction with project and corporate naming and numbering procedure.
o Issuing and receiving of controlled documentation and creation of general electronic transmittals to the Project, Client and Suppliers.
o Scanning of documentation and liaising with external reprographics company.
o Archiving, retrieval and storage of documentation adhering to company standards and policies.
o Checking that all information complies with specified company formats, templates and standards.
o Assisting the Document Control team with the issue, receipt and tracking of all Engineering and Supplier deliverables through to close out and handover stage.
o Assisting Senior with quality checks and audits of docbase, identifying and correcting any anomalies.
o The awareness of all necessary procedures to ensure that Document Management is carried out at optimum effectiveness.
o General document control activities such as photocopying, scanning, quality checking of metadata and documents.
o Data entry into content management system ensuring data validation and revision control.
o Endorsement of corporate content management system ensuring business system continuity is met.
o All information created, reviewed and published aligns with classification scheme and company retention and disposal guidelines.
o Active member of the Sharepoint IM TeamSite to allow collaboration and knowledge sharing of expertise and best practice.

Essential Skills / Qualifications:
o Good standard of general education required.
o Computer literacy required and knowledge of document management systems preferred (although specific Documentum training will be provided).
o Experience and understanding of Supplier and Engineering documentation
o Exposure and experience of a web based content management system aligning structure, naming & numbering, classification, retention and disposal elements
