The Company:
Our Client is a Global Operator in the Oil and Gas Industry.

The Role:
• Managing Document Registers
 Allocated Registers (documents that require unique numbers).
 Correspondence Registers (All incoming and outgoing contract and purchase order documentation).
 Creating document transmittals.
 Logging and prioritising incoming transmittals/documents into our client's system.
 Resolving queries raised with regard to transmittals and documents.
 Allocating Document numbers.
 Scanning documents as required and converting these documents into Adobe pdf documents.

• Archiving
 Assist in the development of processes for all future C&P archiving requirements
 Archive historical back log of files

• Maintain Master and Working Manuals
• Creating Purchase Orders using our client’s Contracts & Purchasing database
• Tracking notifications for approvals (RTAs)
• Produce reports for Senior Management.
• General Administration
• Assist Accounts Payable with regard to verifiable documents prior to invoice payment.
• Expediting internal and external transmittals

Essential Skills / Qualifications:
• Minimum 5 years experience in Oil and Gas or Construction Sectors as a Document Controller/Data Administrator.
• Previous experience with Electronic Document Management Systems (EDMS).

• Computer literate and fully conversant with the Microsoft suite of applications.
• Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
• Ability to handle multiple tasks simultaneously.
• Ability to solve practical problems.

Desirable Skills / Qualifications:
• Receptive to handling a variety of Document Control/Data Administration work.
• Works independently with minimal supervision.
• Manages his own time and establishes priorities.
• Participate in proactive team efforts to achieve departmental goals.
• Demonstrate a personal commitment to Health, Safety and the Environment
