The Role:
The Primary function of this position is to provide document control functions and support.

Key Responsibilities of this position include:

• Manage receipt, filing and distribution of documents and correspondence records for various projects within the group.
• Ensure all documents and correspondence are processed in accordance with Company procedures.
• Ensure the Group is compliant with Company requirements for filing and retention of documentation.
• Electronically register, file and distribute of documents use LiveLink.
• Distribution documents to relevant parties using appropriate matrices and tracking procedures.
• Expedite delivery of information from designers, contractors and suppliers.
• Works with the project management teams with respect to the disposition and handover of final documentation at project close out
• Ensure that all contractual documents are stored in accordance with Company specifications.
• Act as the single point of contact with respect to receiving and distributing contractor documentation
• Ensure documentation deliverables are issued, tracked and correctly reported in contractors’ document management systems.
• Act as a quality control representative with respect to the preparation and storing of documents for the Group.
• Provide training to personnel ensuring compliance to document management requirements.
• Provide training to all users in the use of LiveLink.
• Manage the process to control the quality and review cycle of documents, records and procedures.
• Provide advice on document management issues.
• Manage workflows for review commenting of contractor documentation.
• Interface with contractor’s document management teams to assure documentation distributed to Company or issued by Company is received and a complete and up to date record is maintained.
• Actively interface with the lead engineers and quality team to ensure the integrity of the data.

Essential Skills / Qualifications:
• Minimum of 5 years as a document management professional
• Relevant experience using LiveLink or other electronic document management systems.
• Experience with oil and gas projects
• Knowledge of records management compliance.
• Competent in the use of common office software (MS Excel, Word, Power Point, Outlook, Adobe Acrobat reader/writer)
• Ability to communicate policies, plans, procedures and working methods.
• Proven ability to stick to agreed processes for managing electronic documentation
• Good organisational skills and ability to prioritise
• Excellent oral and written communication skills.
• Well developed skills in written and spoken English
• Demonstrated understanding of project schedules and priorities.
• Ability to work with minimum supervision
• Strong influencing and communication skills
