The Role:
Position description – Purpose

The Project Document Controller is a high profile position at the heart of projects with responsibility for Document Control processes and systems from kick-off to handover. He/she will be responsible for developing project DC (Document Control) and EDM (Electronic Document Management) processes, procedures and work instructions following Shell’s Engineering Information Specification (EIS) and IM for Projects functional best practices. To perform this, he/she will interface with the full project team.

Position description – Roles and Accountabilities

The Project Document Controller will be responsible for managing and maintaining EDMS (Electronic Document Management Systems) and DCS (Document Control Systems) and processes on whatever project they are assigned to. Key interfaces include a multitude of suppliers of information, including contractors and equipment vendors.

Roles:

Responsibility for the management of all aspects of project document control, which include:

• Manage all paper and electronic document flow within Shell team, and from/to contractors or vendors, including information repositories, transmittals, review cycles, and QA/QC on document deliverables. This means: ensure that all received electronic media (where appropriate) are added to the correct folders maintained within the project EDMS, and that the required file attributes are applied to both the EDMS (Electronic Document Management System – eg. LiveLink/Sharepoint) and the DCS (Document Control System – eg. ASSAI).
• Manage and execute end-to-end correspondence workflow for all official incoming and outgoing correspondence.
• Coordinate with functional support team the set up and configuration of the document management systems (repository and control).
• Prepare and issue document performance reports (status, progress and forecast).
• Coordinate the use of document “team working areas” for uncontrolled documents and informal sharing.
• Managing and maintaining the DCS and EDMS.

Accountabilities:

• Support the implementation and manage the project document control and document management processes and systems to aid in efficient project execution.
• Drive improvements within the Document Control scope through leadership, standards, and behaviours. Implement solutions that educate and encourage internal and external stakeholders to become more collaborative and contribute to the project lifecycle value delivery.

Essential Skills / Qualifications:
The position requires a skilled Document Controller with knowledge of Information Management, and document control associated technology. Applicants must exhibit pro-activeness with a high degree of self-motivation.

Candidates should have a passion for improving the way we work, leveraging technology to support the business, and starting with getting the basics right. He/she must be a team player with good communication, interpersonal and leadership skills, and demonstrate strong team and project management capabilities.
