The Company:
Our client is a leading global operator in the oil, gas and energy industry. This role supports various global projects and is based out of our client project offices in London (West)

The Role:
As part the Rig Engineering Project Control team, the Document Controller is responsible for the overall integrity of the Electronic Document Management System (EDMS) in the Rig Engineering domain.

• Provide EDMS user support to help them use the system efficiently.
• Provide a search, retrieval, ordering and re-filing service for end users to access documents stored both physically and digitally.
• Timely delivers document control services.
• Maintains the document file systems, indexes & document registers for critical documents, both physical and digital
• Arranges for the scanning and copying of documents for input to the EDMS.
• Manages the lifecycle of the documentation and correspondence (letters, faxes, and pertinent emails) received and transmitted externally/internally ensuring they are registered, numbered (as applicable), distributed, controlled and filed.
• Responsible for the transmission of documents to and from third parties, including partners, vendors, regulatory agencies and other external bodies
• Responsible for data integrity of their EDMS
• Participates in the auditing of the EDMS when required.
• Updates and trains Rig Engineering personnel in the use of EDMS.
• Develops and maintains document management processes and supporting tools.
• Administers security permissions.
• Defines, & adheres to, document receipt, registration, archiving, retention and disposal procedures
• Defines document naming and numbering conventions & issues document numbers.

• Ensures compliance with document management standards and procedures.
• Implement our client’s Retention Policy to all documents managed in the EDMS.
• Adheres to change management procedures when documents are modified.

Performance Management
• Accountable for reporting operational performance KPIs.

• Responsible for document handover after major project completion.

Communication and Engagement
• Interfaces document management resources with partners, vendors, regulatory agencies and other external bodies, keeping distribution contacts current.
• Interfaces with Function Data Leads, Function Data Specialists, Function Data Analysts and EDMS users.

Essential Skills / Qualifications:
• Degree or equivalent experience
• If degree qualified, could recruit with no experience at this grade
• Previous experience (1-2 years) of document and information management as a document control leader or professional qualification in information or records management.
• Experienced (1-2 years) in the use of electronic document/records management systems e.g. Documentum, eSearch to manage the lifecycle of documents and records.
• Familiar with the control processes and procedures required to maintain the integrity of the records and documents
• Good communicator, organised, methodical with the ability to manage multiple tasks/ user requests.
• Experienced in MS Office applications or developed in other IT skills.
• Enthusiastic and self-motivated with attention to detail.
• Ability to teach users how to access and utilise relevant documents and records

Desirable Skills / Qualifications:
• Previous experience of document and information management in a project environment
• Experience in a Oil and Gas Company environment
• Experienced in following the necessary control processes and procedures required to maintain an electronic document or records management system.
• Basic knowledge of the key oil industry document or records types.
