The Role:
Roles and Responsibilities

Vendor Data/Vendor Data Books
• Receive and/or expedite final vendor data from all vendors
• Verify that documents received are complete/correct based on equipment requirements
• Create and maintain index of all documents
• Manage and maintain electronic and hard copies of all documents
• Manage and maintain documents in Livelink
• Assemble electronic and hard copies of data books for distribution to Operations
• Support Project staff locating vendor information for current project as needed

Vendor Drawings
• Receive and/or expedite vendor drawings submitted for approval by vendors as in instructed in P.O.
• Logs, Route and/or expedite drawings to project engineering/SFE staff for comments and disposition
• Return documents to Vendor with proper disposition to vendors with transmittal
• Maintain report detailing complete schedule of drawing distribution
• Responsible for ensuring that all drawings are issued in the time frame allowed per the construction schedule
• Notify responsible party if problems are encountered

In-house Drawings
• Reproduce and transmit drawings to vendors and project staff
• Maintain transmittal log
• Maintain hard copies of all drawings for project staff use
• Support Project staff locating drawings for current and/or previous projects as needed
• Support Site Teams locate drawing and forward to site


Candidate must be proficient in Microsoft Word, Excel and Access. Must have general knowledge of construction, equipment, equipment tagging, and industry terminology. Being a self-starter, capable or working independently on multiple projects concurrently is an asset.

5+ years of Strong Administrative/ Secretarial experience with some oil & gas industry knowledge.
