The Company:
A Major Operator

The Role:
Takes direction from skilled document control personnel to enhance skill set within Project Document Control team as well as Chevron’s Document Control team
Processes all Project official documentation (includes engineering/technical, correspondence, project management - commercial, legal) generated by COMPANY and CONTRACTOR to be stored in the Document Management System.
Processes transmittal of information between COMPANY and CONTRACTOR.
Records Project documentation
Works with other Project Document Controllers across continents.
Liaise with customers as required. Coordinate the asset teams on Interface document flow. Checking/validation/verification of all documentation, including correct numbering, revisions, status, format, title and legibility. Issue of standard and ad hoc reports and registers
This position requires good computing skills and a high degree of customer service. • Compiles complete document(s) from multiple sources
Preparation of table of contents and reference lists
Generates and organizes transmittal letters
Formatting of figures, tables, headings, captions, cross references, etc.
Ensure the Project Editorial Style Guide is adhered to (training provided)
Troubleshoot MS Word and other common IT issues (as needed)
Rigorously apply and uphold version control • Work within tight schedules
Organize and manage electronic files/documents (via eRoom)
Interpretation and incorporation of reviewer comments (using Tracked Changes and Squad Sheets)
Management of reviewer comments as they apply to document revisions
Distribute, receive and control the project related documents.
Maintain the Quality Assurance records relating to project documents.
Support the Document Control/Record Management Manager to create and modify the Document Control procedures/guidelines.
Support Project Managers to create and modify project specific document control procedures
Primary Ariba contact for the EOR Project. Manage all Ariba processes and documentation used by COMPANY, CONTRACTOR and Bidders.
Assisting contractors, bidders and project personnel in the Ariba system processes
Implement COMPANY Document Control processes, procedures, and specifications to ensure accurate records of all Project official documentation generated by the COMPANY, the CONTRACTOR or its vendors.
Coordinate and work with other similar skilled Project Document Controllers on the project, whether in the same office or across continents to ensure consistency of training, process, and enforcement of document control procedures.
Set up and manage the Ariba MCP Tendering profile for the EOR Project
Generating RFQs/RFIs/RFPs in Ariba for the project
Perform quality control checks to ensure compliant documentation according defined processes
Accurately and constantly maintain the metadata of project documents in accordance to Project specifications
Maintain accurate file structure for all project documentation
Evaluate, manage and comply with COMPANY Document Control processes, procedures, and specifications to ensure accurate records of all Project official documentation generated by the COMPANY, the CONTRACTOR or its vendors
Coordinating Supplier and Contractor compliance with MCP procedures in the management of project documents, their metadata, and transfer
Develop a collaborative environment for electronic tendering / contract document management.
Maintain IM system security access for internal / external project team members to ensure information is secure which is vital to the Bidding Phase of a project.

Essential Skills / Qualifications:
Three to fifteen years previous Document Controls experience
Must have a minimum of 3 years administering and using the Chevron Ariba system
Experience using Ariba to Tender and Award contracts

Must have a methodical and well organized approach to the work environment
Must have excellent interpersonal and communication skills and be able to interface with colleagues at all levels
Must have experience with working in an integrated team environment
Must be able to deal with short time frames and handle multiple competing priorities
Must possess a can do attitude & will do actions
Must be computer literate – including: - Having a working vocabulary of computer and information system components - Understanding fundamental principles of computer processing
Good Working Knowledge in Microsoft Windows environment using the following: - Microsoft Word - Microsoft Excel - Microsoft Outlook - Microsoft SharePoint Training, support, process development and global deployment
Assist other Document Controllers and project team members in training on Ariba system and processes to have a clear understanding of Company or Project specific policies, procedures and software relate
