The Role:
Governance and Control
• Ensure the effective application of the Project document management processes, procedures, coding standards and tools
• Support the Document Management Lead in receipt, audit, transmission, and distribution of documentation to/from the client and third party companies
• Maintain and apply the Project Master Document Register (MDR) and Document Distribution Matrix (DDM)
• Issue document numbers per applicable Document Numbering Specification
• Support and assure execution of information handover to Operations (or other specified recipients)
• Work closely with Contractor Document Delivery Lead to ensure they are delivering information that meets or exceeds standards
• Deliver efficient, effective and secure management of drawings and documents that includes document capture, handling, coding, updating, distribution
• Ensure Confidential documentation is managed and stored within the EDMS
• Responsible for maintaining integrity of the Electronic Document Management System (EDMS) through the maintenance and application of a standardized Quality Control Checklist
• Apply quality checking and accurate meta-data capture to all EDMS deliverables
• Perform regular analysis of the document registers, distribution matrices, and meta-data and identify opportunities for corrective action
• Ensure provision of an accurate and unbiased view of project information status to both the Document Management Lead and the wider delivery team
• Support Document Management Lead in responding to Project queries and status requests
• Develop and maintain interfaces with key project stakeholders
• Liaise with Asset Document Controller to ensure the provision and maintenance of document numbers and concurrent engineering status updates
• Support and champion GPO document management standardization objectives through the provision of training and other knowledge sharing activities
• Serve as a point-of-contact for the project team and operating asset team for the control of project documentation and the supporting applications
• Attend regular meetings with the Contractor Document Delivery Lead to ensure alignment on deliverables, their timeliness and quality.
• Ensure all Project stakeholders have the correct levels of access to the EDMS
• Support Project Document Information Coach to provide training and guidance on the use of the EDMS

Essential Skills / Qualifications:
Relevant professional experience gained from at least two different job roles related to engineering document management on projects or business assets (ideally Operator based with full lifecycle experience)
• Excellent communication and influencing skills, across the project irrespective of seniority, organizational or contractual boundaries
• Experience of using MS Office applications to perform analyses (MS Excel) and updates to document management Work Instructions (MS Word)
• Demonstrably high attention to detail and application of rigorous quality checking
• Experience using electronic document management systems for controlling and reporting project data
• Experience working with large contractor organizations and performing effectively in a multi-disciplinary, multi-cultural environment
• Strong commitment to HSSE
• High level of self-motivation
