The Company:
Our Client is the largest LNG producing company in the world, with an annual LNG production capacity of 42 million tonnes per annum (MTA), safely and reliably delivering LNG to customers around the globe from world-class facilities in Qatar.

The Role:
Basic Function and Scope:
Supervises office support staffs, if available, including leave and overtime approval. Develop and maintain project filing system and work with EPCM Contractor¡¦s staffs for documentations.
Organizes updates and controls technical documentation, records, and data. Analyses data to provide information in response to requests submitted by technical and non-technical personnel at all levels in the organization.
Provides assistance to PMT and clients Functional Support personnel to investigate, evaluate, and resolve documentation-related problems. Job scope includes multi-discipline engineering, construction, QA/QC, certification, and vendor technical and commercial documentation, records and data for the onshore and offshore facilities.
This position is accountable to the Project Manager, Ras Laffan Site.
Duties and Responsibilities:
• Reports to Project Manager and supervises office support staffs, if available, including leave and overtime approval
• Develop and maintain project filing system and work with EPCM Contractor staff for documentations
• Work with EPCM Contractor staff to develop and maintain the communications between PMT and Contractor. Also to support any PMT requirement to Contractor via Electronic Document Management System
• Ensure adequate office support staff available at all times (secretaries, clerks, drivers, etc.)
• Entry into SAP and expediting of material requests for Doha & Site Office requirements
• Manage office space, transportation, office equipment and communication requirements.
• Ensure office facilities are maintained and in good order by ordering repairs and maintenance services for office facilities, equipment, and vehicles through EPCM Contractor as appropriate
• Make physical arrangements for staff mobilizations to site and intra-office moves
• Maintain and coordinate visitor office(s) assignments
• Manage assigned vehicles, pool cars, vans, bus and driver sorties
• Manage arrangements for meetings and visitors.
• Arrange RLIC, plant, port and construction site passes and IDs for staff and visitors.
• Arrange special onsite and offsite activities including award ceremonies, secure bid evaluation sites and team building
• Set up document control centre and maintain Doha & Site PMT document filing and storage requirements
• Maintain company asset files for computers, telephone, radios etc.
• Set up mail service schedule and delivery runs. Analyses data and sources multi-discipline information in response to requests submitted by technical and non-technical personnel at all levels within the company.
• Verifies completeness, and acknowledges the receipt of technical documentation and data received from various internal and external sources.
• Validates status and currency of technical documentation and data received from various internal and external sources.
• Updates multi-discipline data held in specialist Document and Data Management Systems.
• Ensures proper adherence to company Policy and Procedure and international standards concerning management, archiving and retention of company documents, records and data.
• Support of Company SEQ policies and programs and carrying out specific duties and responsibilities related to his job as directed in Management System documentation, policies, and procedures, local documentation, Management System Manual, Safety Manual and other related documents.
• Undertakes other duties and tasks as directed by supervisor.
Work Contacts:
Routine contact with technical and non-technical employees at all levels to assess needs and provide viable solutions in response to requests for information.
Routine contact with the clients Corporate Documentation personnel and the clients E&V personnel for related to documentation and technical assistant supports.
Frequent contact with contractor and PTF representatives for co-ordination purposes. Periodic outside contact with other operating company and vendor representatives.
Independence of Operation:
Expected to use initiative to resolve queries and anomalies as they arise. Required to collate and provide requested information in a timely coordinated manner, necessitating a degree of independent planning and work prioritization, the incumbent therefore must be capable of deploying self-initiative and motivation.
Must ensure compliance with the clients Procedures and established international standards, (ISO 9000 and ISO 14000) regarding the management and archiving of company documentation, records and data.
Majority of work subject to self-checking, some work reviewed by Project Manager and the clients Functional Supports (Corporate Documentation).

Essential Skills / Qualifications:
Minimum Requirements:
• Bachelor degree
• Good written and verbal communication skills.
• Good leadership and interpersonal skills and ability to work as part of a team
• Good interpersonal skills
• Computer literacy, using computer and database systems. Primarily MS products: Office, Outlook and Internet Explorer.
• Able to work well with people from a variety of national backgrounds and cultures
Experience:
• Minimum of three (7) years experience in all areas of Document and Information Data Management in the oil and gas sector
• Strong management and interpersonal skills with experience in motivating and supervising diverse multi-national and multi cultural teams
• Good planning, analytical and problem solving skills.
