The Company:
Our client is an international Operator.

The Role:
Reporting functionally to the Information Management Lead, the Document Controller will be responsible for the overall control of all company documents in the Exploration and Production (E&P) business unit. The role involves managing and controlling the numbering, filing, sorting and retrieval of electronically stored or hard copy documentation produced by technical teams, projects or departments in a timely, accurate and efficient manner. The purpose of the role is to ensure that best practices are used in document control and delivery to create organisation, efficiency and consistency for the business unit.

KEY RESPONSIBILITIES

• Manage the numbering / checking / validation / verification of all documentation, including correct numbering, revisions, status, format, title and legibility
• Establish and maintain the document management processes and associated systems on a project. Monitor performance, ensuring compliance with contract and corporate requirements
• Work with internal teams to develop efficient document management policies and processes
• Review all 3rd party developed documentation to ensure it meets internal business unit and company practices
• Working with the Information Management Lead, ensure accuracy on all production released documentation. Develop and maintain a system to ensure quality of released documents
• Ensure that all necessary current documentation is available to operations personnel
• Maintain the controls of all corporate documentation and manage the period review of content by the document owners
• Effectively follow the company’s standard operating procedures in submission of documents
• When document releases affect ERP, FTP site and other internal network directories, this individual will update as required to ensure that all system links contain the latest versions, revisions, descriptions etc.
• Assist with the preparation of work-hour estimates and assess resources required for Projects
• Manage the checking / validation / verification of all document data, and where required Engineering and associated vendor data deliverables
• Ensure each document and data control function is carried out by the appropriate member of the Document Control Group
• Monitor the need to expedite vendor data and ensures that expediters take appropriate action
• Assign suitable work or line of responsibilities to document controllers and provide guidance when necessary.
• Ensure that applicable reports and statistics are available for the project. Develop project specific reports and statistics
• Conduct Document Management System training for all project personnel.
• Prepare Project Document Management Procedures
• Liaise with the project team to ensure consistency and alignment on all ongoing projects
• Work with various stakeholder to ensure the timely and correct flow of documentation
• Provide guidance and support team members in the use of document control systems and routines
• Other duties as needed

Essential Skills / Qualifications:
EDUCATION & EXPERIENCE REQUIREMENTS

• Advanced proficiency with industry typical EDMS’s such as Livelink, Coreworx, Sharepoint, Documentum etc. – required
• Knowledge of various electronic documentation types
• Thorough understanding and background of capital project execution in an EPCM environment
• Experience and understanding various file structures and file types
• Experience with contract review, multi-site interfaces, and document management requirements in contracts
• Previous experience in a document control or records management position with similar technical data references
• Able to communicate and apply interpersonal relationship skills in order to obtain the co-operation of other in the performance of the work.
• Post-secondary education in a related discipline such as library science, information sciences or ARM
• Proficiency in MS Word, Excel, and PowerPoint
• Good time keeping and prioritization skills
• Strong verbal and written communication ski
