The Role:

Set up and maintain projects master document registers on prescribed software;
• Interface with Planners and other disciplines,
• Liaise with and support the project teams on all aspects of document control,
• Manage and record the throughput of all project documentation from internal departments,
clients and suppliers,
• Compile reports as required by the project teams,
• Upkeep of project Database Management System and liaise with IT service supplier,
• Update of Electronic Data Base Management on regular basis for access of latest data all across the locations including other design offices and site etc.,
• Maintain electronic and hard copy, current and superseded documentation,
• Distribution of incoming and outgoing drawings/documents/correspondences as per the project distribution matrix,
• Distribution of subcontractor/vendor documents for discipline review and return the documents to the vendor/subcontractor through transmittals and distribution,
• Interface with vendors and subcontractors for receipt of subcontractor/vendor documents, subcontractor/vendor document numbering and method of submission of vendor data,
• Creation of transmittals as per client/project requirements and deliver to the client through the agreed platform for exchange of data,
• Advise Client, Subcontractor, Project Manager and Team Members, the status of documents and comments internally and externally,
• Maintain a high level of understanding of document control archiving processes, Maintain the s~rity and confidentiality of archiving system,
• Filing and archival of all project documents,
• Advise and assist users in using/working on database system efficiently,
• Follow the Company's QHSE policy and regulations in all work under responsibility, Implementation and improvement of Document and Data Control Procedures, Co-ordinate with site and other offices in project database management,
• Assist with the final project documentation handover in conjunction with contractor and other departments including the archiving processes as and when appropriate,

Essential Skills / Qualifications:
• Bachelor's Degree in Information Management, Business Administration or relevant disciplines
• 5+ years of significant DC experience (Oil and Gaz)
• Experience related to engineering document management on projects with a focus on the construction and handover phases of the projects
• Experience working with contractor organizations and performing effectively in a multidisciplinary, multi-cultural environment.
• Skilled in database administration and relevant software for DC control
• Good communication and influencing skills with the ability of meeting deadlines and managing priorities
