The Company:
The Document Interface Specialist is primarily responsible for the management and administration of all technical documents the company, the EPC Contractor and other parties involved with the project. These documents will include all types of engineering drawings, manuals, records and technical sources related to the project. Works with Project Managers, Engineers, and Principals located first at the EPC contractors office and later at the construction site to understand the documentation requ

The Role:
•Responsible for following the overall document control strategy established by project requirements and contractual obligations.
•Maintains a consistent record and document storage filing structure for the entire suite of technical documents for the project.
•Stores and retrieves documents from the appropriate electronic repository as they are received from suppliers, vendors and contractors.
•Maintains a tracking mechanism for keep track of all document versions and revisions.
•Follow the project procedures for managing electronic exchange of information between the company and the EPC Contractor
•Supports strategies that optimize the storage of physical documents if required.
•Administers the access to and organization of departmental SharePoint team sites, document management systems and other document storage locations for JV Projects. Manages document permissions and access control for all documents in electronic repositories.
•Reviews, analyses and evaluates associated technologies such as taxonomies, metadata and data structures for electronic records including, but not limited to Shared drives, SharePoint.
•Develops recommendations to ensure all content designated as a company record (hard copy or electronic) is captured and migrated into SharePoint from the contractor’s document management system.
•Coordinates the appropriate communication protocols between all technical parties associated with the project.
•Conducts training of all technical document storage and retrieval processes, document locations to expedite the management of engineering and construction information.
•Become a subject matter expert with the use of the contractor’s document management system.
•Comply with all records storage and retention policies established by the Administration Manager for the project.
•Develops recommendations to assist in the Development of training materials for end users of the company’s document management system (SharePoint).
•Develops and carries out objectives, policies, and tactics that provide appropriate access control of all information in accordance with company document management initiatives and management directives.

Essential Skills / Qualifications:
Education:

•Bachelors of Science degree or equivalent experience in any Engineering discipline, Business Management, Information Systems and/or document management systems.

Experience:

•5 years relevant Engineering design, services, project or technical commercial development experience. Uploading, downloading, scanning, and migrating documents from multiple media to a DMS. Created an organization’s taxonomy, created attributes and conducted user training of a DMS. 2 years of managing engineering and technical documents and is familiar with technical terms and acronyms used in the Energy Industry.

Skills/ Knowledge/ Abilities:

•Knowledge and proven application experience with the use of engineering terminology in the Oil and Gas industry.
•Familiar with Document Management principles and practices
•Ability to understand the general nature and purpose of technical documentation including interpreting engineering drawings, specifications, manuals and philosophy docume
