The Company:
Our client is a leading oil and gas exploration and production company. They are leading the way in LNG developments and offshore projects globally.

The Role:
An opportunity has arisen for an Executive Assistant experience to join a leading Oil and Gas Operator for a 6 month contract. Our client is seeking a candidate with 5-10 years’ experience to provide professional support to the General Manager and Principal Advisor to ensure Management of the Australian Business is run efficiently. An ideal candidate will therefore have a high level of attention to detail and time management skills with the ability to maintain discretion working in a highly confidential environment with access to confidential information.


Responsibilities include but may not be limited to:

•Administration support for the General Manager and Principal Advisor
•Diary management, expense reconciliation, recording and preparation of incoming/outgoing correspondence, answering internal/external calls as required, message taking, document/presentation formatting, printing, photocopying, binding and general day to day administration duties.
•Manage all business Travel requests in line with the Travel Policy
•Prepare quotes, itineraries including flights and accommodation, arrange visa’s as required, confirm airport transfer logistics and assist with passport applications/renewals as required.
•Responding to invitations, meetings and various email requests on behalf of the General Manager, as appropriate.
•Electronic filing system management.
•Manage corporate gift requirements including stock ordering and management for ad hoc needs:
o Company policy and procedures support for activities within the Australian business.
o Coordination of key meetings involving external parties.
o Organisation of high level internal meetings, Town Halls (Staff Meetings) and external workshops, conferences including preparation of presentations (PowerPoint), Agenda’s and logistics as required.
•Assist with the coordination of Annual personnel partnered events.
•Provide administrative support to leadership team when visiting Perth.
•Relief Reception cover as and when required.
•Being the liaison and maintaining an active relationship with the Building Management team and all associated Contractors with respect to:
o Monitoring, engineering and maintenance of the building
o Security and safety issues
o Building access passes
o Car park, and Lease and transaction on real estate requirements / improvement.
• Maintain active relationship and monitor Cleaning contract.
• Supervision and support / back up of Reception function and phone system.

Essential Skills / Qualifications:
•5-10 years of relevant experience working at an Executive level in an international company according to the following:
•Microsoft office skills (Advanced Word, Intermediate Excel and Advanced PowerPoint).
•Clear written and oral communication skills with the ability to communicate at all levels in a global professional environment.
•Excellent organizational skills.
•Previous PA experience dealing with highly confidential / sensitive information.
•Results Orientated – high level of organisation and ability to prioritise.
