The Company:
Our client (big Oil & Gas company) is looking for Facilities Maintenance Administrative Assistant.

The Role:
- Provide administrative services in an effective and efficient manner to support continuous operations of the department;
- Prepare all supporting documentation for timesheet process;
- Update monthly manpower reports, coordinate all routine administrative tasks (travel and accommodation reservations, medical checkup schedule, rotational schedule, function/office equipment requisitions, inventory supplies, all incoming and outgoing correspondence);
- Take care of arrangements for newly hired personnel and visitors (logistics including access to facilities and company networks);
- Prepare supplementary agreements for position title/work location/salary changes;
- Maintain confidential records and files;
- Provision of logistic support by way of liaison with suppliers and tracking of orders status;
- Generating of Material and Service Requests;
- Accountancy (checking of supplier’s invoices; work with supplier’s accountants to correct errors; SES creation in the IPES system; tracking of annualized PO spend to Balance);
- Maintaining of rotational calendar for ENL and SLSL personnel (working schedule, timesheets, travel and hotel arrangement, temporary registration arrangement);
- IPES and general Computer Application Support;
- other duties as needed.
