The Company:
Our client is an international oil & gas operator.

The Role:
The Service holder assists the FPSO Document Control Leader in the management of the FPSO Package documentation exchange between the FPSO Package main Contractors and the FPSO Work Package team, up to
delivery/finalisation of final documentation from these Contractors, through the use of CMY EDMS (PRODOM).
The Service holder will be dedicated to one Contractor’s site and will be mainly in charge of the day to day management of the documentation developed on this site.
One of the Service holder’s primary objectives is to ensure that all the documents issued by the concerned Contractor (and associated Subcontractors/Suppliers/Vendors) are developed and managed in accordance with the Project
Document Control specifications. The job holder is entitled to comply with rules and requirements of Project Control team and shall liaise and coordinate specifically with the DCC Leader from this team (functional link).
The Service holder will also be responsible for bringing an active support to all concerned FPSO members in the performance of their document-related duties (review and comment of documents, approval process, etc.), and will be the focal point, on the considered site, for all matters related to FPSO documentation management and control from both Contractor and concerned FPSO members.
The Service holder may also participate in the overall documentation process (suggesting amendments to procedures, to PRODOM, issuing specific reports on his Documentation activities, etc.).
The Service holder shall observe strict confidentiality in the performance of his activities all along the course of the Project.
The Service holder reports to the FPSO Document Control Leader Deputy.
The Service holder is also accountable for demonstrating individually an exemplary behaviour with regard to HSSE rules & requirements.

1. To adopt and demonstrate an exemplary behaviour with regard to HSSE and to implement HSSE rules and requirements within his area of responsibility.
2. To be informed of Company Rules and Specifications (CR’s/GS’s), Corporate and Project procedures related to Documentation Management, for application to his activities.
3. To participate in the implementation of the Documentation Management system at Contractors’, setting-up and explaining rules and procedures, jointly with the FPSO Document Control Leader and the DCC Leader and with the help of concerned Corporate Departments.
4. To use PRODOM for day-to-day activities such as: registration and integration of FPSO contractor(s) received documents, registration of transmittal sheets, definition and launch of review work-flows (maintenance of a distribution matrix for this), follow-up and expediting of reviewing process, compilation of commented document, preparation of transmittal sheets out and transmission back to FPSO Package contractors.
5. To control the conformity of FPSO Package contractors issued documents with regard to Project specifications and standards, using special tools for automatic control, commenting on the conformity of documents, and rejecting documents as necessary.
6. To provide support (training, daily assistance, advises) in the use of PRODOM to the FPSO Work Package team for their document-related duties (review and comment of documents, approval process, etc.) and, as a general manner, to provide assistance to the FPSO Work Package team for all matters related to documentation management activities.
7. To check the progress of document production by the FPSO Package contractors in coordination with the FPSO Document Control Leader and FPSO Planning and Reporting Engineer.
8. To provide all relevant information requested for Project reporting.
9. To keep and archive hard copies of drawings or other documents as required.
10. To participate in the timely preparation of the hand-over of FPSO Package documentation to Operations team, as requested.
11. To observe strict confidentiality in the performance of his duties and on the received/issued
documentation, all along the course of the Project.
12. To timely report to the FPSO Document Control Leader Deputy, highlighting progress and encountered areas of concern.
13. To report functionally to the DCC Leader for specific issues related to Document Control.
In general, to liaise and coordinate actively with the Project Control team, and specifically with the DCC Leader, from whom he shall comply with rules and requirements (functional link).
14. To gather ‘lessons learnt’ on Documentation matters and to provide feedback to other CMY entities as required.

Essential Skills / Qualifications:
Professional Experience (years): 5-10
Experience in similar position (years): +/- 3 (Experience in Doc. Management with PRODOM)
Level / Diploma: Technician, or equivalent in related domain;
Languages: English mandatory.
