The Role:
Admin Assistant
As an integral part of this team, the candidates should have the capability or quickly develop capabilities to contribute in various job functions, including:
Maintain Excel based databases for the purposes of scheduling personnel, time tracking, assigning rooms and tracking company assets.
Create / Modify / Delete logistics reservations in iLogistics system.
Ability to provide interpretation and translation on personnel issues (eg pay, discipline, training) so that they remain confidential.
Provides assistance to the Management, Supervisors and employees of the department as requested.
Organizes reception of visitors - being tactful and attentive towards them. Contributes to prompt review of employees` requests and proposals.
* makes written translations of technical, regulatory, scientific documentation, verbal interpretations of daily meeting, staff meeting and negotiations.
* creates complex schemes, tables, runs reports in E1 and Ariba as requested by supervisor.
* checks final versions of written translations made by Junior administrative assistants
* knowledge of policies and Kazakstan legislation.
Document minutes from various meetings, compile into meeting minutes report and distribute. Develop agendas for meetings and send out meeting notices.
Manage drilling support inventory of transportation, computer equipment, communications and various tools required for the well work operations. Assist Engineers in procuring required equipment to meet demands of the rig schedule.
Develop and coordinate training schedules for various personnel who seek drilling experience. Coordinate preparation of annual training programs for Nationals and assist to execute same.
Contribute to maintaining an incident free operation which is in support of and in compliance with our Protecting People and the Environment policy.
Required Skills:
- MS Word - intermediate
- MS Excel - intermediate
- MS Visio - intermediate
- Ability to learn and use JDE E1 (timesheet & Sales Order creation modules) - intermediate
- Ability to learn and use Ariba (Materials Requisition creation module) - intermediate
- English - Advanced
- Ability to quickly develop knowledge & understanding Policies and applicable RoK Laws
