The Role:
General Administration –
• General administrative duties (mail management, answer telephone/email/fax enquiries, photocopy/scan/fax documents, type letters/ memos/reports for OH related issues, maintain databases)
• Provide administrative support to occupational health nurse, contract doctor and physiotherapist including presentations and production of PowerPoint presentations
• Monitor, maintain and co-ordinate schedules and calendars for contract doctor and physiotherapist
• SAP & Ariba management and authorise accounts for the department
• Invoice management
• Attend training courses and complete company compliance training as required
• Attend medics weekly calls, compile and circulate minutes
• Attend WebEx weekly team meetings, compile and circulate minutes if requested
• Liaise with CBRES (facilities management) regarding any maintenance issues for H&M department
• Edit and update Health & Medical department SharePoint site;
• Requisition stationery and maintain an adequate stock of stationery
• Order medical supplies, medicines and vaccines as requested
• Maintain contact and alignment with medical team based in London
• Respond to /re-direct enquiries on behalf of other team members in their absence
Medical Administration –
• Maintain medical confidentiality at all times
• Maintain a secure filing system for medical records for Chevron staff and contractors
• Input data and task allocation within electronic medical records (EMR) system
• Management of archived medical records
• Co-ordinate and arrange examinations including functional capacity evaluations, health surveillance, post-offer, voluntary health programme, international assignment, offshore medical and return to work examinations. Issue instructions for attendance
• Arrange specialist referrals / appointments as required
• Update Vantage with medical clearance, shoulder width measurements and comments re fitness to travel to CUE assets
• Check offshore medical expiry dates within Vantage and notify employees when due to expire
• Arrange Wellbeing initiatives (health promotion events) and order health promotion materials as instructed by occupational health nurse

• First aid certificate desirable but not essential
