The Role:
Provide a professional, efficient and integrated support service for the HR Commercial & International Team, including a provision of first level information, advice and guidance to Managers and Colleagues covering both HR Operations and Global Assignment Topics


HR Service Delivery
• Administration and coordination of all activities associated with the employee lifecycle (recruitment and selection, new starters, leavers and all contractual change)
• To be the first point of contact, fielding calls and responding to telephone and face to face queries for the HR team, ensuring that all enquiries to the department are handled effectively and efficiently
• Develop effective relationships with managers to ensure timely receipt of HR documentation related to starters, leavers and other changes
• Coordinate adhoc information requests from customer areas ensuring deadlines are met i.e. trainee nomination requests, holiday data etc.

HR Systems/ Data and Record Keeping

• Maintain the highest standards of organisation within our colleagues dossier files and to keep filing maintained in line with company and legislative requirements
• Ensure the SAP system is maintained on a very regular basis
• To work in collaboration with the payroll function to ensure that all information is accurate and all payroll deadlines are met
• Maintain accurate and up to date records relating to all HR activity in accordance with Audit requirements and Data Protection
• Maintain all trackers, working with Managers to ensure processes are adhered to .i.e. probationary periods
• Create and develop HR statistics on a monthly, quarterly and ad hoc basis as requested by other members of the HR team

Global Assignments

• Assistance in the day to day operational activity regarding global employees, including support in expatriating and repatriating employees to and from overseas offices
• Management of on – going administration associated with global assignments
• Coordination of “cost management” activities
• Liaison with Global Assignments/ HR colleagues across the group and external suppliers in support of global assignments
• Responsible for monthly monitoring/ reporting of Immigration related activity such as annual checks and visa expiry dates
• Liaison with external payroll provider and finance department on remuneration matters of global employees, including data management of contractual entitlements

HR Operations

• Coordination and arrangement of Assessment of Potential, feedback sessions and ongoing monitoring
• Responsible for conducting exit interviews for leavers, as appropriate and reporting reasons for leaving
• Coordination of absence management in customer areas ensuring return to work interviews are completed to the required quality
• Management of maternity cases for the customer areas ensuring timing information is relayed to the HR Officers for headcount forecasting purposes
• Coordination of flexible working hours requests ensuring statutory timescales are adhered to and any necessary next steps are catered for i.e. re-calculation of holidays, appeal meetings etc.
• Support recruitment activity as appropriate
• Involvement in investigations and disciplinaries up to verbal warning level

Process Improvement/ Projects

• Involvement in continuous improvement activities within HR
• Create new HR processes/ procedures/ task instructions in conjunction with process owners
• Attend regular meetings with the HR Administrator to ensure HR deliverables are met in relation to company wide initiatives and projects
• Contribute as an active team member to HR projects/ initiatives as and when required


• Demonstrable experience within fast paced administration/ coordination role within HR team
• Effective communication, organisational and planning skills, with the ability to influence and assert where appropriate
• Strong IT Skills including Word, Excel, Outlook and PowerPoint. Microsoft Project would be an advantage
• HR SAP experience is desirable
• Demonstrable high level of literacy and numeracy
• Proactiveness and initiative – self – starter
• High attention to detail
• German language both written and spoken is desirable


• Knowledge of key employment legislation including immigration legislation would be an advantage
• Ability to learn new IT systems quickly


• Willingness to work toward CIPD qualification
• Qualifications to A- Level (or equivalent)
