The Company:
A large worldwide operator working on major projects

The Role:
The main goals of the role are to:

• Deliver the monthly payroll in timely and accurately manner by inputting, processing and analysing HR data.
• Subject manner expert in HR time management systems and policies
• Coordinate and publish the annual vacation plan for all staff as per the labour law
• Report non compliance issues related to payroll and time management
• Provide guidance to employees


ROLES AND RESPONSIBILITIES

Payroll management

• Collect and validate forms, memo and letters for payments for ad hoc and monthly pay runs.
• Support employees on claims, queries and overall questions related to payslip, policies and forms
• Manage recurring payments (family, lunch and offshore allowances) in SAP HR as per employee Group/Subgroup entitlement set.
• Manage additional payments (SRA, overtime, stand by and nightshift allowances) into the system
• Run a monthly payroll simulation, as scheduled, to identify data errors before running the LIVE payroll.
• Run monthly reports to provide assurance that recurring/additional payments for new joiners, leavers, transfers (in and out) and promotions have been captured
• Deliver payroll instructions to Finance in a timely and accurate way including backups.
• Ensure all backups are archived in a organized and timely manner. Both hard and soft copies
• Coordinate and arrange payroll calendar to be posted into the Portal
• Review payroll forms annually (1Q) and on a requests/complains basis.


Payroll files archive

• Ensure all weekly and monthly payroll information archive in organized way
• Elaborate guidelines for accessing payroll archive


Time management

• Coordinate and publish the Annual Leave Plan by January 31st as per Angola Labor Law
• Prepare and share reports on time management related issues (i.e. absences, overtime)
• Run time evaluation on the 5th day of the month to prevent payroll defects, generate quotas, update leaves and etc.
• Analyze Organizational Assignment against time data stored in SAP.

KEY INTERFACES
• Stakeholders required to be engaged include HR Team members and Finance Team

Essential Skills / Qualifications:
ESSENTIAL COMPENTENCIES

• Ability to manage complex data structure in Microsoft Office Excel 2003 or the latest versions
• Ability to express ideas effectively in written and oral form; adjusting language or terminology to the characteristics and needs of the audience.
• Ability to work effectively with team/work group or those outside the formal line of authority
• Ability to work systematic, priority-based structuring of time allocation and distribution among competing demands
• Ability to establish a course of action for self and/or others to accomplish a specific goal; planning proper assignments of personnel and appropriate allocation of resources

EDUCATION/EXPERIENCE REQUIRED
• Bachelor’s degree in HR, IT or related discipline
• Relevant experience in data management and IT systems
• Proficient with Microsoft Office Excel, Outlook and Internet research skills

Desirable Skills / Qualifications:
DESIRABLE CRITERIA
• SAP system experience but not required
• Analytical data management expose
