The Role:
Job Purpose:
To provide independent professional, administrative support to the Health Safety and Environment & Social Performance (HSE&SP) and Communications (CX) Teams in Iraq.

The Iraq HSE&SP and CX Teams have expanded extensively through 2012 due to the Majnoon project reaching midpoint in construction and the Basra Gas Company Joint Venture being created. More support is needed to help the overall teams with complicated and time-consuming administrative tasks. The position will require absorbing a lot of work in a short period of time.

The role is an integral part of the HSE&SP and CX teams and plays an important role in the wellbeing of the overall team.

This position reports to the Iraq SE&SP Manager and has a dotted line to the Iraq Communications Manager and will be based at International Energy City in Basra.

The role is a Job Group 8 position.

Principal Accountabilities:
Perform independent business support activities for appointed staff and teams.

• Management of on and off site workshops/conferences, meetings, events including researching venues, negotiating with third parties, costing activities, full administrative responsibility before, during and after the event.
• Ability to travel internationally e.g. Dubai and the Netherlands.
• Booking trips and visas for Leadership Team members.
• Office Administration: Provide general admin support where applicable, i.e. complex/large scanning, printing, reproduction, binding, typing, faxing.
• Managing the calendars of the Iraq SE&SP and CX Manager’s.
• Timewriting and expenses 1st line support – general/ basic issues/ ‘how-to’ questions, ensure compliance.
• Coaching technical staff with administrative tasks. This will include use of the available self-help tools. Ensure compliance.

Key Challenges:

• To provide support to a broad HSE&SP and CX community as well as developing intimacy and knowledge about the team and the specific location.
• To provide coaching and encouragement on the use of self-help tools as well as providing 1st line support for timewriting and expenses. Ensure compliance.
• Apply and encourage best practices throughout Iraq and provide suggestions for optimising to get things done more efficiently.
• Complying with processes and procedures while safeguarding the relations with technical staff.

Job Knowledge, Skills & Experience:

• Proficient in reading and writing English.
• 5-10 years of relevant work experience.
• Proficient with standard office software; including Excel, Word, PowerPoint and Outlook, and is proficient with general IT matters.
• Must be motivated and a self-starter with a "can do" attitude.
• Must be an individual with strong interpersonal skills.
• Understand timewriting and expense systems or is keen to learn.
• Understands the Oil and Gas business environment or is keen to learn.
• Has referenced experience of being a team player.
