The Role:
“Only candidates who already have the rights to work in Azerbaijan will be considered for this role”.
Administrative Assistant will be working with Immigration Manager to optimise his schedule and give support in appropriate areas to Immigration Team.
1. Provide administrative support including correspondence, meetings and phone calls 2. Act as the first point of contact for both internal and external visitors 3. Hold accountability for the efficient management of the office including: housekeeping, stationery, printers, copy machines, meeting rooms, general maintenance 4. Type and translate letters for Immigration manager, under supervision develop presentation materials 5. Organize the meetings/events by taking care on venues and room logistics, issuing agendas, catering, inviting attendees 6. Provide front line support for the Team Members regarding meeting room bookings and administration needs, own and maintain Global Address Distribution Lists related to Immigration Team 7. Develop, maintain and support filing system 8. Develop and own knowledge to operate Expat Services tool, input data, process and develop reports, build diagrams as per the Services’ need 9. Be primarily responsible for Web-page construction inputs, gathering and updating content, following with related stakeholder

Essential Skills / Qualifications:
University Degree in Public Administration
• Experience in Governmental and Employee relations • Good translation abilities both in written and oral •Negotiation skills • Planning & Organisation Skills • Communicate effectively with all levels of employees, partners, consortia and Government departments and agencies • Language skills (Azerbaijani, English, Russian) and is able to provide translation/interpretation support when required • Fluency in MS Applications, strong knowledge of MS Word • Strong time management

Desirable Skills / Qualifications:
• University diploma is preferred • Willingness to develop capability • Listen carefully to all perspectives • Ability to work under pressure • Availability to work long hours on occasional basis
