The Role:
Reporting to the Technical Services Supervisor, the FE Information Management Analyst supports the Company Facilities Engineering (FE) Team. The analyst is part of a small Information Management (IM) team that executes day-to-day FE requirements and developments tools and processes to improve the efficiency of the FE IM system. The team co-ordinates closely with the third party Engineering Services Contractor (ESC) Document Control team

Key Roles and Responsibilities;

1.Ensure that the ESC complies with Company information management processes.
2.Help to implement a new document management system (DMS) “Documentum” within the FE Team.
3.Support and implement an internal FE information management system to ensure that information generated by Company is retained and accessible. Help to collate and archive FE information.
4.Perform compliance monitoring & QA/QC activities to ensure information integrity
5.Incorporate Company requirements for managing Process Safety Information within the DMS.
6.Work with the ESC to ensure that document, drawing and tag registers are adequately maintained and are accessible.
7.Interface with non-ISC vendors as required to ensure that Company requirements are met i.e. provide guidance, for example, on numbering & revision conventions, formats, collaboration mechanisms, delivery and handover requirements
8.Support development of processes to manage the interface between Company and ESC Information Management Systems
9.Monitor the close out of workpacks by the ESC. Ensure that closed out workpacks are signed off and catalogued in the document management system.
10.Ensure that Management of Change Documentation is completed to reflect the close-out of projects.
11.Support Company and ESC personnel in locating and distributing electronic/archived information as required.
12.Maintain, populate, rationalise & standardise DMS engineering content Company DMS
13.Help support migration of Facilities Engineering into Sharepoint.
14.Provide basic CAD drafting service e.g. file manipulation, conversion, plotting & guidance on standards.

Essential Skills / Qualifications:
Experience of working in Information Management teams and with Information Management Processes.
Good knowledge of document management systems functionality and operation, including metadata modifications/maintenance, content maintenance, bulk content changes and CAD understanding.
Understanding of the Information Management needs of an Exploration and Production company and its associated business processes.
Experience of dealing with various engineering discipline and information categories, such as P&IDs, data sheets, piping isometrics and engineering workpacks.
Proactive in identifying and implementing improvements to process workflows.
Experience of dealing with engineering personnel, both on and offshore to and deal with their requests and requirements.
Effective verbal and written communication skills.
