The Role:
Prepare and maintain Procedures, Process for the Document Management and systems. To develop and make available accurate registers of all technical documentation produced by contractor and company. To provide a link between project team and other offices or projects. To facilitate close-out of project and handover of deliverables. Implement specific procedures and assure its implementation

Main responsibilities:

• Data and technical documentation monitoring during the all lifecycle of the Project.
• To ensure that all technical and managerial documentation produced for the Project is in accordance with the Project requirements.
• To provide for archiving of all final documentation at the end of the activity.

Key activities:

• Coordinate centralized functions of document, data and systems management
• Coordinate other document controllers and serve as expert providing advise on Document, Data and system management
• Assure setup of contractors systems and / or alignment of systems and procedures for Document, data and systems management
• Preparing the Project Data and Document Management procedure and identify relevant Company standards.
• Verifying their proper application. To cooperate with Project team members in preparing the Provisional List of Documents, and in defining their relevant planning and programming
• Maintaining and up to date the Project Document Register and temporary archives as well as any other register
• Issuing and diffuse monthly reports on Documents Production Status and latest revision of Document List.
• Expediting consignment/return of documents and monitor their physical progress in support to the Project
• Managing documents distribution according to the Project Document Distribution Matrix.
• Ensuring documents availability
• Preventing access to obsolete documentation.
• Providing support for handover of final documentation.

Essential Skills / Qualifications:
Education:

• Secondary Level Technical Education or technician in Systems

Training and Courses:

• Project management basic courses
• Document controlling systems or any other database systems courses

Required Experience:

• 10 years of experience in document and systems management

Desirable Skills / Qualifications:
Required knowledge, professional and personal skills:

• The candidate will have practical experience working in document and data management
• Experience in oil & Gas or process plant previous projects managing documents and data
• Experience with databases, sharepoint, MS office, data systems and at management
• Mixed experience in early phases of project development (FEL, conceptual, FEED) with exposure with Execution environment
• Experienced working with an Owner organization will be a plus but not mandatory
• The candidate will be a team player with excellent communication skills
• The candidate will have a friendly multi-cultural attitude
• Good in English.
• High mobility and flexibility to relocate
• Adaptability to changing priorities.
• Strong initiative, ability to work independently with minimal supervision to achieve results
• Ability to multitask and respond quickly to urgent analysis requests.
