The Company:
Our client, a major owner/operating company, requires expertise for their ongoing oil sands mega-projects in Alberta.

This position is open to Canadian Citizens and Permanent Residents only.

The Role:
JOB FUNCTION
The Lead Document Controller is responsible for managing the project day to day document control activities, and support the project team with coordinating the overall document control process including monitoring the contractors’ performance and processes, and reporting issues that could potentially impact final documentation quality to the project team. The Lead Document Controller will be responsible to manage the lifecycle of documentation and ensure all project documentation meet Company requirements. The Lead Document Controller is the point of contact for the project team and provides mentorship and leadership to the company and contractor document control groups.

TASKS AND RESPONSIBILITIES
• The Lead Document Controller is responsible to execute the duties and activities assigned by the and is the single point interface for all document control activities on a project for client, vendors and subcontractors.
• Provide project team with quarterly IM Health checks on each Contractor
• Prepare and present detailed status reports on documentation from Contractors and provide status on progressive DFO
• Manage IOL PT-MDR and ensure all gate documents are identified and uploaded into U-Docs
• Maintain project DDM and ensure distribution to all project stakeholders
• Provide end users within project team with training and support regarding the projects document control process and organizational policies, procedures and workflows
• Regularly interact with contractors to ensure a documentation delivered meets Company requirements and that all contractual requirements are being met for the delivery and approval of contractor’s documentation
• Oversee turnover and handover process and workflows for all project documentation including project closeout and delivery to Operations
• Provide support all project stakeholders to ensure that project team utilizing U-Docs understand and benefit from the project team
• Manage the performance of document control staff and ensure they have an understanding of what is expected of them both in Home office and at Site
• Identify job specific training and access requirements for document controllers and ensure proper training and support is provided
• Manage day to day document control activities assigning work and providing weekly reports on upload/errors/rejections to the project team
• Draft document control work aids and procedures for the project team; create IM checklist from project specifications
• Ensure that all documentation/information, both technical and non-technical, generated on a project is managed properly in terms of quality checks, identification, registration, approval, distribution and filing
• Confirm that documentation requirements are fulfilled; provide knowledgeable input on the documentation requirements and deliverables for the project
• Ensure that all relevant project information is available and accessible by all project stakeholders at all project phases
• Accountable to track Contractor delivery of IMP and DFO Plan, and ensure Contractor Early Deliverables, MDR are tracked and uploaded into WCMP Repository and provide project team with monthly status reports
• Accountable to track and manage receipt and population of Contractor’s MDR monthly and provide status reports
• Manage and steward Turnover Schedule for each project Contractor and raise any potential issues to
project team
• Review contractor plans and procedures (IMP, DFO, MDR, SMDR)
• Ensure adherence to and the effective use of tools, systems and procedures
• As directed by PIMC implement new business procedures consistent with Company best practices
• Draft IM rollout schedule and presentation for all project contractors and project team and provide to project team for review
• Travel as required
• Other duties as required

Essential Skills / Qualifications:
REQUIREMENTS
• Ability to adapt to tight deadlines, heavy workloads and frequent changes in priorities
• Strong organizational, supervisory and coordination skills
• Conflict resolution, time management and team management skills are essential
• Extensive knowledge of engineering and construction technical terminology in the oil and gas industry
• Strong oral, written and interpersonal communication skills
• Minimum of five years of overall document control experience in engineering and
construction on major projects within the oil and gas industry
• At least three years of experience in a supervisory position
• Experience in systems such as DM, FileNET, Documentum, U-Docs etc.
• Proficient with MS Word, MS Excel and Adobe Acrobat Professional
• Attention to detail
• High school and two year technical diploma or acceptable combination of experience
