The Role:

•Raise the overall awareness of Document Control and Information Management within company.
•Manage the Project Document Control function to ensure that all documentation is properly controlled and maintained within company at all locations where it is used, on and offshore.
•Provide an effective Project Document Control Service for document, drawings and data, including all project procedures to meet the intent of ISO 9001 and ISO 14001.
•Ensure that documents and data are consistently named, stored, delivered and retrieved and comply with statutory and legal requirements including HSWA 1978.
•Supervise, train and direct all project personnel involved in company Information Management / Document Control.
•Conduct Interface meetings with business partners and Suppliers to provide authoritative guidance on Document control matters.
•Jointly with technical staff ensure that all jobs / work packs / work scopes are closed out correctly and in an expedient manner complete with as-building of documents, drawings and databases.
•Ensure that documents and data which have long term business value, or are required to be retained for legal reasons, are transferred to a central company repository & managed in a secure manner.
•Develop strategies and detailed plans for managing engineering information during the project execution and in the operations phase.
•Champion the business benefits resulting from effective management of all information, particularly for the successful Operations of company facilities.
•Ensure EDMS is effectively utilised to support project execution, Commissioning, Start Up and Operations.
•Maintain Information Management processes including performance metrics, updating procedures, assessment of Contractors and reporting results.
•Provide Documentation for Operation planning in accordance with the intent of normative NORSOK Standards and act as the primary contact point for document handover and facilitate resolution of DFO queries and deviations.
•Manage Technical Authoring activities and the controlled distribution of Controlled Procedure and Drawings at all locations where work is performed.
•Manage and assess Information Management and Document Control Staff.

•Comfortable in working outside firm line management boundaries in a goal oriented working environment.

Essential Skills / Qualifications:
•Mastery of Document Control and Information Management practices, preferably within an Oil and Gas environment.
•Understanding the roles and responsibilities of Information Management within a technical environment.
•Strong analytical capability to visualise and capture root cause.
•Ability to contribute to the team but equally work on own initiative.
•Drives effective information sharing.
•Able to make effective decisions quickly. Identifies problems and stakeholders and drives resolution in a timely fashion.
•Able to proactively identify areas for improvement and change.
•Offshore certification & willing to visit offshore locations for auditing / training.

Desirable Skills / Qualifications:
•Considerable experience and detailed knowledge of Information Management and Document Control processes activities in an Oil and Gas environment.
•Significant experience in document management systems and expert knowledge of Document Control, Records Management - Document Retention and Compliance, Filing Structures, Legal Compliance, Offshore Records and Controlled Documents, Corporate (Legal / Supply Chain / HSEQ), Archiving, Capital Projects.
•High proficiency in Document Control IT tools, databases, and administrative procedures.
•Ability to communicate new processes and procedures requirements to others.
•Ability to adapt to tight deadlines, heavy workloads, and frequent changes in priorities.
•A good understanding of engineering information standards and the Regulatory and Compliance issues associated with Document Control
•Excellent presentation, communication and influencing skills for effective Stakeholder/staff engagement.
