The Role:
A new opportunity has arisen for a Lead Document Controller based in Perth on initially a contract basis with the potential of becoming permanent.

The Engineering IM team will be established to seamlessly accept the Project information set and be ready to support and enable the Engineering and Maintenance organizations to carry safe, efficient and economic execution of numerous facility change management and Brownfield project activities. Reporting to the Engineering IM Lead, the Document Controller Lead ensures accurate record management of documentation generated by Company, contractors and suppliers in support of the day-to-day Company operation and execution of facility change management, projects, and contracts.

Key responsibilities include:
• The Document Control Lead is responsible for defining, developing and implementing all necessary procedures to ensure that document management with Brownfield projects is carried out at optimum effectiveness. Key interfaces include a multitude of suppliers of information, including contractors and equipment vendors.
• Lead, Implement, supervise and coordinate the document control function for recording, distributing and filing of all project engineering, supplier and construction documentation through to handover and ensures practical implementation of corporate content management system.
• For project to asset handover, develop and implement assurance procedures, measures and KPI reporting to verify the quality and compliance of document transitioned to asset.
• Develop and deliver project document control procedures covering document validation and handover to Operations, based on the company specific document control delivery procedure.
• Prepare and issue specifications on the numbering, control and delivery as per contractual conditions and in line with existing company guidelines and DEPs (Design and Engineering Practices) for (a) internal and external design and vendor documents (b) project correspondence and will be responsible for checking that the project correspondence procedure is being adhered to by project team members
• Comply with the Company Records Management for Controlled and not Controlled documents.
• Maintain project archiving for hard copy project document and manage project handover project handover requirements for both hard copy and electronic media upon project completion.
• Manage all paper and electronic document flow within project, and from/to contractors or vendors.
• Coordinate the use of document “team working areas” for uncontrolled documents and informal sharing. Manage and maintain the Doc Control System (ASSAI) and Electronic Document Management System (Livelink/Sharepoint).
• Drive improvements within the Document Control scope through leadership, standards, and behaviours. Implement solutions that educate and encourage internal and external stakeholders to become more collaborative and contribute to the project value.
• Prepare and issue document performance reports (status, progress and forecast). Manage services by offshore document control contractors (e.g. bulk loading, document reclassification, etc.)

Essential Skills / Qualifications:
• Ideally 10 years industry experience as Document Controller with knowledge of Information Management, and document control processes on all phases of Capital/Brownfield project execution including FEED, Detail Design and Construction, handover to operations, and of EPCM interface management.
• Breadth and depth of knowledge of cross-discipline engineering documents (requirements and use) and discipline approval processes within project teams.
• Knowledge of Records Management principles and implementation methods.
• Must exhibit pro-activeness with a high degree of self-motivation.
• Passion for improving the way we work, leveraging technology to support the business, and starting with getting the basics right.
