The Role:
Our client is seeking a Lead Information Management Coordinator who will be responsible for ensuring that the EPC Contractor delivers project documents in accordance with the Documentation for Operations requirements so that Mechanical Acceptance of the facilities is achieved. Responsible for ensuring project documentation flows between locations and departments according to approved plans and procedures during all phases of project execution.


Key results areas;

• Leads Project Team’s successful execution of information management requirements throughout project life.
• Manages and implements the Project Information Management Plan (IMP);
• Demonstrates ability to plan and schedule work (short term and long term) and ensures execution of work plan by sub-ordinates
• Establishes, implements and stewards Project Information Management policies, processes, procedures, systems and controls as per the Venture IMP.
• Analyzes existing processes and information repositories to propose and implement breakthrough solutions leveraging modern-day IT solutions.
• Works with EPC Contractor and key Vendors to ensure alignment between the Project’s Information Management requirements and EPC contract terms and conditions.
• Provides Project’s oversight of the EPC Contractor’s Information Management processes, procedures and systems to ensure contractual compliance, gap identification and closure.
• Evaluates Venture Information Management process, systems and procedures to understand impacts and assess against Contractor contractual requirements.
• Manages the change process within the Information Management organization.
• Strong focus on managing the Project and Contractor information flow between the EPC Contractor’s offices (Home Office, Remote Offices and High Value Engineering Centres) and Project site.
• Ensures the EPC Contractor, its Sub-contractors and key vendors Documentation for Operations (DFO) conforms to Clients requirements.

• Demonstrates willingness to tackle a variety of tasks in response to evolving business needs.



Communications and Working Relationships:

• Interfaces with multiple project teams and departments on resolving information management related issues that requires effective communication, initiative, flexibility and an ability to induce collaboration.
• Interacts effectively with Management and external stakeholders, including statutory auditors, shareholder auditors and other entities to discuss project practices and issues.
• Exhibits team leadership skills, integrity, self-confidence and fairness.
• Manages a number of people and is responsible for the development and mentoring of the staff.
• Effective team player who collaborates well with others.
• Communicates concisely in verbal context especially in group meetings (internal and with EPC Contractor); communicates concisely in written context and demonstrates ability to prepare high quality written documents including emails.



Problem Solving/Complexity:

• Undertakes complex tasks and acts as a source of guidance for the Project Team and EPC Contractor.
• Demonstrates analytical skills in which the incumbent can identify problems / issues and develop action / mitigation plans to resolve the problem / issue at hand.
• Takes initiative based on experience to deliver timely and cost effective service.
• Sets situations/issues in the context of the entire team and has an appreciation of the wider relationships with other people and organizations.



Decision Making Authority and Responsibility:

• Works independently within established procedures, plans and budgets and contributes to the development of these.
• Has autonomy over scheduling and planning of own work; organizes efforts of work group to achieve overall efficiency.
• Establishes credibility with peers, subordinates and supervisors.
• Exercises judgment in making decisions; knows when to seek advice. Understands organizational authority and seeks appropriate line management approvals.

Essential Skills / Qualifications:
• University/college degree in related discipline.
• Excellent written and verbal communication skills.
• Knowledge and experience with Information Management computing and hardcopy systems, management processes and control procedures.
• Knowledge of Electronic Document Management Systems including SharePoint.
• Proven leadership and team management skills, capable strategic planner.
• Minimum of fifteen (15) years related experience in Information Management and fifteen (15) years experience working within a Project organization.
• Experienced in working with large EPC Contractors in the areas of Information Management, contract compliance and contract change management.
• Additional relevant work experience may be substituted for technical education. International experience, especially in Qatar or the Middle East, is preferred.
