The Company:
Our client, a major owner/operating company, requires expertise for their ongoing oil sands mega-projects in Alberta.

This position is open to Canadian Citizens and Permanent Residents only.

The Role:
Key Reporting Relationships:

• Reports to Project Controls Lead.
• Coordinates, directs and assists with training of on-site administrative staff for Commissioning and Start-Up.
• Coordinates, directs and assists with training of Travel Coordinator.
• Control point for Service Contractor administration including advising on site protocols and procedures.
• On-site focal point assisting Resource Planner’s coordination with Commissioning Leads/Managers to update the staffing plan.

Tasks and Responsibilities:

• Coordinates activities concerning site administration.
• Create and maintain organizational and procedural documentation.
• Interface with Service Contractor administrative team regarding logistics/scheduling/hiring/site processes, ensuring alignment with protocols and procedures.
• Control and update floor plans for buildings, including assignment of office space.
• Site facility setup and organization involving SWS interface for infrastructure, ensuring trailers ready for occupation with IT in place.
• Ensure IT consistency across site, including establishing access standards for LAN and data access; resolve any IT issues with relevant IT groups.
• Implement and monitor bussing arrangements, adjusting timing/volume as necessary for workforce.
• Forecast and manage assignment of trucks; coordinate vehicle requirements with SWS.
• Logistics/infrastructure forecasting including camp, flight, trailers, and IT.
• Set up and maintenance of accounts for camps, flights, SWS, etc.
• Maintain SharePoint site.
• Maintain and monitor ASL.
• Ensure time writing alignment and provide guidance/instructions.
• Implement/maintain processes for new hires, terminations, and site visitors (onboarding, IT, development of new hire packages).

Essential Skills / Qualifications:
• Minimum of 6+ years of experience in a fast-paced administrative role, with exposure to an oil & gas environment.
• College diploma in Business Administration or equivalent.
• Experience managing and training staff.
• Advanced proficiency in MS Office suite of programs, specifically Word, Excel & PowerPoint.
• Computer proficiency with general knowledge of networks and issue troubleshooting.
• Read, write, and speak fluent English, especially as required to function effectively within a project team and to communicate with project management, contractors, and sub contractors.
