The Role:
To provide high quality, professional receptionist and administrative functions as required - Mornings 8am to 1pm:

• Visitor Meet and Greet.
• Switchboard Operation.
• Ensuring Reception is immaculate at all times.
• Meeting Room Diary Management.
• Set up and clear down for meetings.
• Catering.
• Maintaining cleanliness of café (including the loading /unloading dishwasher when needed).
• Booking couriers/taxis & updating the internal documentation.
• Liaising with suppliers including cleaners / maintenance etc.
• Collation/distribution of incoming faxes, mail and deliveries.
• Franking outgoing mail.
• Invoice Reconciliation.
• Inventory / ordering / distribution of Stationery, Beverage Supplies (coffee/tea/squash/milk), Daily Fruit order Sainsburys Order.
• Photocopying and copy-typing as required.
• Accommodation Bookings with preferred hotels suppliers.
• Liaising with travel agent regarding flights, accommodation and car hire for staff and contractors in the UK and OS.
• Update HSE Noticeboard on a weekly basis.
• Managing internal staff lists (telephone/staff whereabouts).
• Liaising with other Offices in the UK and Europe.
• Supporting the Office Manager with administration as requested.
• Technical issues within meeting rooms liaise with IT.

Essential Skills / Qualifications:
• Minimum 2 years experience in similar role.
• Confident using computer software and office equipment.
• Self motivated and able to use initiative.
• Efficient and well organised.
• Good written and spoken communications skills.
• Determination and capacity for hard work.
• Professional Approach.
• Well presented.
• Eye for detail/Accuracy.
• Ability to stay calm under pressure.
• Reliability & Flexibility.
• Ability to multi-task with good time and workflow management.
