The Role:
Main Purpose of the Role

The purpose of this role is to co-ordinate the Occupational Health Service appointment scheduling, reception services and administration to ensure efficient utilisation of the OH professionals. This involves administering the OH system (OPAS), appointment scheduling and recalls, reception services and other administration duties for the internal and external team (including the management of confidential medical records).

Scope of the Role

1.Provide administrative support to the OH Team. This includes -

- Reception services
- Managing the appointment schedule and recalls for the OH team, to include the OH Physician, Counsellor and Physiotherapists to ensure effective utilisation of resource
- Maintaining consumable medical and general stock levels
- Order processing via SAP / Workflow
- General administration (letter / report writing)


2. Providing technical system administration for OPAS to ensure efficient utilisation of the OH professionals. This includes –

- Optimisation of resource planning
- Report writing
- Record management
- Access control

3. Undertaking filing and record keeping duties to include the management of confidential medical records and information. This includes –
- Organising records on a daily basis for the OH team
- Archiving
- Working within the data Protection Act
- Auditing records

4. Provide information and medical records in relation to legal (Employers Liability Insurance) claims.

Qualifications & Experience

• As a minimum GSCE level English and Maths
• First Aid at Work certificate
• Systems & processes
- Maintain contemporaneous, accurate and confidential records on all colleagues attending the Occupational Health Department.
- Fully conversant with Microsoft Office with a high level of keyboard skills and accuracy
- Knowledge and experience of working with the OPAS Occupational Health Software system or equivalent, ideally as “super user”
- Knowledge of SAP would be advantageous

• Legislation
- Role involves access to confidential medical and personal records and therefore the job holder must be familiar with and operate within the bounds of the Data Protection Act and Standards regarding Medical Confidentiality

• Disciplines
- Good communications skills – verbal and written
- Ability to diffuse conflict and act as a “buffer” for the OH team
- Attention to detail, data accuracy
- The ability to work autonomously and determine own work schedule based on conflicting priorities
- Willingness to adapt / be flexible and to support other duties that may arise within the team
