The Role:
NOTE: THIS POSITION IS AVAILABLE ONLY FOR AZERBAIJAN CITIZENS
• Circulation and distribution, controlling and monitoring of incoming (Company contractors, vendors, third parties) and outgoing technical documentation submitted in electronic and hard copy as required.
• Scanning of documents and filing in electronic format in Documentum and hard copy.
• Provide Engineering/Operations members with current information in a prompt manner using the tools available.
• Carry out periodic audits of data entry to ensure integrity of data in Documentum. Locate and resolve data input errors and anomalies.
• Maintain document distribution matrix and transmittal system.
• Be responsible for the prompt indexing, filing, and distribution of documentation to and from the system.
• Ensure where necessary that obsolete material is removed.
• Control of documentation prior to final issue, distribution and ongoing document control
• Day to Day management and administration of the Document Management Database (Documentum) and information contained therein
• Liaise with Document Coordinators of Company contractors, participating on meetings to give instructions on document management process and procedures
• Input data into Documentum system as required in line with document management procedures and working practices.
• Provide assistance for the members of Engineering/Operations/Maintenance team in the use of Documentum and other relevant databases
• Provide handover of engineering documentation from the past, present and future Projects into client Documentum
• Book-out/Book-In process
• Provide numbers for new documents
• Provide reports from Documentum to end users
• Archive obsolete documentation and data as required
• Provide roll out sessions on AGT Region Document Management Procedure
• Visit Offshore platforms for periodic audit checks
• Ensure compliance with company HSE regulations

Essential Skills / Qualifications:
• Min 2 years document management experience (Proficiency in the above noted responsibilities)
• Good knowledge of technical information management systems & processes
• Good knowledge and competencies in relational databases
• Good communication and interpersonal skills
• Ability to work in a team environment
• Interfacing with other departments
• Attention to detail; ability to organize
• Ability to work under own initiative
• Offshore visits when required
• Ability to work odd hours or overtime if required
• University Degree
• Advanced proficiency in MS Word, Excel, Power Point, Access, Acrobat
