The Company:
Our major Oil & Gas Client is in need of an Operations Assistant - Facilities in Searcy, AR.

The Role:
Purpose:
• To fulfil all Reception administrative duties including handling Reception phone and email inquiries, reporting, filing, managing supplies, setting up meetings, reserving conference rooms, managing badge access and managing service requests.
• To log visitors and vendors on site to perform services.
• To assist the Facilities function with project and business management support.
• To provide customer service.

Key Relationships:
• Facilities team members
• Petroleum employees and contractors
• Outside Facilities service providers

Core & Accountabilities
• Operations Service Delivery – assist customers with general facilities requests. Follow Standard Operating Procedures and associated process flow diagrams. Evaluate work place layout in order to implement work flow improvements. Able to address the Specialty Areas:
o Shipping, Receiving & Mail Service Delivery – perform service delivery and assist with problem resolution by utilizing tracking tools. Able to use international and domestic systems.
o Reception & Access Service Delivery – Able to perform all aspects of reception and badge access service delivery. Perform extended support for unique situations involving Reception.
• Project Support –follow a basic project plan and participate in ownership of task execution. Contribute to risk analysis discussions.
• Vendor Coordination –Have basic knowledge of the vendor’s contractual obligations.

• Working with Others – maintain a positive outlook under stress. Seek appropriate guidance on sensitive customer service issues. Work effectively and efficiently with internal and external customers. Provide backup to another operations team member.
• Safe Practices – follow safe work practices by complying with rules and report potentially unsafe observations to Supervisor.

Essential Skills / Qualifications:
Qualification
• 2-4 years experience in Facilities Operations Service Delivery
• Basic Microsoft Office Suite
• Familiarity with process documentation, process flow diagrams and documentation filing and collaboration systems
