The Role:
Purpose

You will provide a comprehensive Personal Assistant service, including full secretarial support Local Business Unit Manager (Director) for the Grid Systems business

Tasks
• To develop and maintain a deep knowledge of the scope and content of the business and to effectively direct issues, correspondence and queries to the most appropriate part of the Company.
• To assess incoming issues and their priorities, anticipate information or actions required so as to enable the Director to make quick and informed decisions.
• In the absence of the Director, the PA will ensure that the efficiency of the office is sustained so that key stakeholders, e.g. customers, investors, etc, are satisfied.
• Will be required to organise and support communication processes, as well as assisting in the organising and running of company-wide events.
• Responsibility for Corporate Hospitality and Conference booking
• Liaison with world-wide customers, suppliers, agents, legal professionals and staff at all levels
• To build a close working relationship with partners
• To arrange meetings, travel and co-ordination of diaries associated with the Directors requirements
• To maintain accurate records and filing systems, involving administration of all documentation and associated records
• To ensure effective communication with senior management team

Essential Skills / Qualifications:
• Diary management and travel arrangements
• Excellent IT skills - Fully competent in Microsoft office (Word, Excel and PowerPoint)
• Typing, Audio and Shorthand Skills, or at least speed writing ability
• Will have demonstrated an excellent track record in a similar role.

The ideal candidate will be a skilled administrator and communicator, with a professional and enthusiastic telephone manner. You will also have excellent organisational and co-ordination skills, and have the ability to prioritise and manage a large workload. The position involves working within a busy, customer-focused environment, where accuracy, quality and timely completion of work are paramount. This requires a candidate with personal dedication, commitment and flexibility.
