The Role:
Business Support to Contracting & Procurement Manager(s)
Provide personal administrative support to the UIO CP Manager and the CP Leadership Team.
Electronic Diary Management – ensure the Managers diary is complete up to date using initiative to prioritise conflicting meetings and re-schedule where necessary.
Ensure Manager is prepared for meetings by preparing pre-read and supporting paperwork.
Email – assist manager by replying to meeting requests on their behalf ensuring the electronic diary is current, action emails where possible or delegate where appropriate especially when Manager is out of the office or at meetings.
Arranging and setting up teleconferences & video conferences.
Meeting – assist where required to organise weekly leadership team meetings, external meetings, business breakfasts for all of CP, F2F CP Leadership engagements, leadership team social events ensuring all colleagues are kept informed of any changes.
Travel Arrangements – book all travel arrangements on Managers behalf including taxi travel to and from external meetings.
Arrangements of Managers site visits to UIO overseas locations for the year, liaising with logistics/planners.
Arrangements of trips overseas on an ad hoc basis.
Focal point for offices moves.
Expense Claims – prepare expense claims in GCC. Reconcile expenses against credit card in GCC system.
External Interface – act as first point of contact for external clients.
Ensure reputation of Production Services is maintained through a professional, friendly and approachable manner.
Keep abreast of current departmental issues and be aware of business trends and developments throughout the UK & Ireland.
Provide support to other business support team members in the department.
General business support Assist with CP Livelink filing Areas.
