The Role:
The Primary School Secretary plays an important role in the day-to-day running of the Primary School, assisting the Primary School Principal with a variety of administrative tasks and acting as an important communications’ interface between the Primary School, parents, staff and students. Excellent communication skills and organisational ability are key requirements for this position. Sound typing and fluent language ability in speaking, reading and writing in English and ideally Azerbaijani and Russian, as well as advanced knowledge of Microsoft Office programs are also required.

The successful candidate will be responsible for carrying out the following tasks as well as others assigned by the Primary Principal and Primary Assistant Principal.

•Arranging appointments for the Primary Principal
•Assisting Primary teachers in arranging PD workshops and assisting the PYP Coordinator in administering the Primary PD budget
•Creating PYP document folders
•Overseeing the creation of the schedule of Primary School events
•Administering the booking of school facilities for outside events
•Facilitating external and internal meetings in Primary School
•Delivering mail to teacher pigeonholes and posting information on the school/community/student bulletin boards
•Sending email notifications to teachers on student absences, sick leave, departure from school, parental requests for homework etc
•Delivering phone messages from parents to students or teachers
•Arranging parent appointments with teachers or teacher appointments with parents
•Answering phones promptly, responding to phone requests, and transferring calls internally as required
•Assisting in school and parent/student communications/activities
•Creating student files
•Tracking attendance

Essential Skills / Qualifications:
The ideal candidate will have the confidence to be able to communicate effectively with teachers, students and parents and to take appropriate initiatives in carrying out tasks. The candidate should be able to adapt quickly to new situations and be able to use strategies for supporting teachers, students and parents and implement them independently.
