The Role:
Project Administrative Assistant

Key Job Roles and Responsibilities:
1. Under general supervision, reports to SOOC Project OR Business Manager, assists project team members and short term assignment guests.
2. This position performs a variety of administrative and staff support duties for SOOC Project which require a range of skills and knowledge of organizational policies and procedures:-
3. Travel arrangements
4. Assists and directs visitors
5. Resolves administrative issues and inquiries
6. Composes, edits, proofreads correspondence and reports
7. Performs interoffice administrative coordination
8. Routine book keeping transactions
9. Internally track documents
10. Creates and maintains computer databases
11. Prepares a range of administrative documents (e.g. partners meetings logistics,etc)
12. Office safety coordination
13. Event planning
14. Project close-out
15. The position involves special emphasis on the following initiatives:-
16. Coordinate and perform a range of staff and/or operational support activities for the Project; day-to-day administrative and operational functions.
17. Provide administrative/secretarial support to SOOC Project team such as answering phones, assisting visitors, resolving and/or referring a range of administrative inquiries,
18. Operate personal computer to compose and edit correspondence and/or memoranda from verbal direction, knowledge of established department/division policies; may prepare, transcribe, compose, type, edit and distribute agendas and/or minutes of meetings.
19. Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities for Supervisors, which may include travel and accommodation arrangements.
20. Prepare and/or assist with presentation of schedule, and/or ad hoc statistical and narrative reports; perform basic information gathering, analysis and/or forecasting, as specifically directed.
21. Assist SOOC team in problem solving, project planning, development and execution of stated goals and objectives.
22. Administer SharePoint Site.
23. Establish, maintain and update files, databases, records and/or other documents; develop and maintain data, perform routine analyses and calculations in the processing of data for recurring internal reports.
24. Sort, screen, review, distribute incoming and outgoing mail; composes, prepares or ensures timely responses to a variety of routine written inquiries.
25. Requisition supplies, printing, maintenance and other services via purchasing card.
