The Company:
Our client, an international major oil and gas operator, seeks a Project Administrative Assistant to join their team.

The Role:
• Manages the day to day workflow resolving requests and issues proactively.
• Review, screen, prioritize and respond to incoming email and telephone calls, as appropriate.
• Coordinates domestic and international travel arrangements including air, hotel and ground transportation.
• Coordinates logistics, agendas and minutes for both on-site and off-site meetings and conferences.
• Effectively communicates with domestic and overseas locations to coordinate all requirements for meetings, including accommodations and preparation of agendas.
• Assists resident team with coordination and support of meetings including agenda development and pre-read compilation.
• Participates in Engineering Team meetings capturing action items and sharing key updates, as well as pre-read compilation for monthly Leadership Team meetings.
• Assists in the preparation of documents, spreadsheets, databases and slide materials for presentations.
• Organizes and arranges badge access, parking, office space/equipment, phone/email access, office orientation etc., for new employees, contractors and visitors. Supports office moves, space planning, furnishings, computer equipment, supplies, etc.
• Manages and reconciles monthly Procurement Card (Procard) purchases and reconciles monthly statements.
• Advanced knowledge and skills in Microsoft Word, Excel, PowerPoint and Outlook/Calendar.

Essential Skills / Qualifications:
High School Diploma or equivalent
2 + years

Desirable Skills / Qualifications:
• Use discretion and judgment in the handling of confidential and sensitive business information
• Prioritize work and perform multiple tasks with limited supervision
• Work effectively and cooperatively with a diverse team of co-workers, contractors, and internal and external customers
• Manage time effectively, and work with minimal supervision
• Proficient MS Office (Word, Excel, PowerPoint Outlook, etc.) and an aptitude for learning new software packages.
