The Company:
Our client, an international oil and gas major operator, is seeking a Project Administrative Assistant to join one of their major projects.

The Role:
• Supports the Business Team in the office by managing the day to day workflow, proactively resolving requests and issues.
• Reviews, prioritizes and responds to incoming email and telephone calls, as appropriate.
• Logistical planning and execution of three (3) to four (4) team events per year. Team events will be after-hours and/or on weekends.
• Coordinates logistics, agendas and minutes for both on-site and off-site meetings and conferences. Effectively communicates with domestic and overseas locations to coordinate all requirements for meetings, including accommodations and preparation of agendas.
• Assists resident team with coordination and support of meetings including agenda development and pre-read compilation.
• Participates in team meetings capturing action items and sharing key updates, as well as pre-read compilation for meetings.
• Assists in the preparation of documents, spreadsheets, databases and materials for meetings and presentations.
• Assists with badge access, office space/equipment, phone/email access etc., for new employees, contractors and visitors.
• Supports office moves, space planning, furnishings, computer equipment, supplies etc.
• Responsible for handling of highly sensitive and confidential material

Essential Skills / Qualifications:
• High School Diploma or equivalent
• Minimum 3 years experience
• Advanced knowledge and skills in Microsoft Office - Word, Excel, PowerPoint, Outlook/Calendar and Visio (some of this should be on project assignments)
• Aptitude for learning new software packages
• Experience in the handling of confidential and sensitive business information

Desirable Skills / Qualifications:
• Manage time effectively, prioritize work and perform multiple tasks with minimum supervision
• Work effectively and cooperatively with a diverse team of coworkers, contractors, and internal and external customers; good interpersonal skills
