The Role:
• Provide day-to-day secretarial and administrative support to the UKCP Portfolio Project Manager and associated projects.
• Co-ordinate meeting attendance and arrange suitable meeting venues.
• Arrange onsite and offsite group events / meetings.
• Acting as focal point, maintain awareness of leadership group diaries, movements and contact details.
• Arrange and book travel as appropriate.
• Co-ordinate production of monthly / weekly reports.
• Prepare presentation materials for leadership group.
• Record, prepare and issue Minutes of Meeting for key meetings
• Coordination of regular updates of Organisation Charts and Bulletins.
• External communications co-ordinator.
• Development and maintaining UKCP website and SharePoint sites.
• Prepare LT presentation material when required.
• Set up, use and maintain hardcopy and electronic filing systems.
• Word processing of letters, memos, faxes etc
• Maintain department holiday planner.
• Admin procurement co-ordinator / Manage group stationery supplies.
• Arrange and book training courses as appropriate.
• EUR Rep for GIS (hardware, software etc.) and administer access rights for new users.
• Administer project SharePoint sites including user permissions.

Essential Skills / Qualifications:
• Courteous with excellent telephone manner and communication skills.
• Ability to act in an administrative capacity and pursue tasks without direct supervision.
• Absolute confidentiality of many sensitive business matters and personnel information.
• Ability to use - Word , PowerPoint, E-Mail, Excel, SAP R3 and SharePoint
• Previous experience in similar position supporting Management Team in a large project environment.
