The Role:
Responsible for the provision of a comprehensive, confidential administrative/secretarial service for a Project Team co-located within a Strategic Engineering contractor firm. This post is part of a multi-skilled team and the post holder will work within a small team of company staff and contractors providing direct support to the project team as well as the Project Leadership Team.

The post holder will require a high level of competence in Microsoft Office packages, SharePoint, communication and organisational skills. The post holder will be expected to manage and prioritise their own workload.

Secretarial and Administrative duties:
-To be responsible for daily collection/dissemination of mail, logging, distributing and bringing any urgent matters to attention of appropriate member of staff, maintaining appropriate records and tracking systems.
-To organise meetings as requested and prepare agendas and associated paperwork, ensuring these are distributed in a timely manner.
-To utilise the e-mail, intranet and Microsoft packages as required, accessing and download documents from the internet, SharePoint as and when required.
-To prepare accurately typed correspondence, to include letters, reports, agenda, minutes, action plans and spreadsheets using latest office technology, in line with corporate standards.
-To participate in meeting and greeting visitors as needed.
-To be responsible for ensuring the timely exchange of information to other departments internal and external colleagues.
-To prioritise and organise own workload, working to tight timescales.
-Responsible for the staff and contractor on-boarding and off-boarding procedures and maintaining the project staff tracker.
-To maintain a comprehensive filing system and an efficient information retrieval system, ensuring security to include record keeping and archiving in accordance with Policies and Procedures.
-Support the initial project team move from Aberdeen to the London area.
