The Role:
The Project Information Management Coordinator (PIMC) is responsible to provide the projects with information management and document control guidance and support by detailing the processes, workflows and EDMS to be implemented on the project to ensure the delivery of documentation seamlessly to Operations. The PIMC will understand the contract and IM obligations and be responsible to ensure all Company requirements pertaining to document control and information management activities are identified and communicated the project team. The PIMC is the point of contact between Information Management and the Project Management Team and will provide mentorship and guidance to project IM Leads and the entire project team.

TASKS AND RESPONSIBILITIES

• Act as liaison between IM and project management by working with all project stakeholders at all locations to determine the overall Information Management (IM) and system requirements as they pertain to project delivery. This includes identifying specific standards, procedures, information technology and tools to be used in project execution
• Implement and coordinate IM activities that include establishing a document control group, assigning a designated floor area, setting up IM document control group mailbox(s),
• Work with IM IT PIMC and Senior PIMC to customize Company EDMS U-Docs for project use; create project repository, create pick lists, and ensure that all relevant project information is accessible by all project stakeholders at all project phases
• Identify the necessary training requirements for EDMS tools implemented on the project, and coordinate subsequent training activities.
• Accountable to complete Company System Risk Assessments for all IM systems utilized on the project
• Develop and maintain progress reporting for Project Information Management related activities. Manage schedule and resource estimates for IM resources both internally and externally.
• Accountable for the Document Control group’s deliverables, goals, and objectives ensuring that daily productivity goals are met by effectively managing resources including forecasting, reallocation planning, and coaching IM Staff
• Create project specific plans, procedures, templates and registers from WCMP templates including early project IMP, IMP for each project stage, project document numbering specification, IM specification and Transition Plan and ensure that relevant supporting work instructions and procedures are developed.
• Generate project workflows for all project documentation; documentation from all IORVL contractors, IORVL internal reviews, IFC workflow, mark up workflow, as built workflow, transition to Operations and turnover workflow which included developing forms and processes
• Generate project Turnover Schedule for each project Contractor and provide to IM Project Lead to manage
• Responsible for project closeout activities. Evaluate and develop the project’s archival procedures, and coordinate project IM handover activities, ensuring project readiness to deliver required data and documents in the manner specified by project requirements from LAN and EDMS
• Review and consolidate comments on Contractors IMP, DFO Plan, MDR, SMDR
• Create CWP matrix, IMP, Early IMP, IOL PT-MDR, Transition Plan for the project
• Produce Final Turnover Schedule for each Contractor (based on MDR), identify FD, HC, SC categories on Contractor MDR’s
• Develop and use key indicators, metrics, and management systems to monitor each work unit's performance against goals and prepare regular reporting to senior management regarding critical functions, processes, volume trends, and exceptions/risks, MDR/SMDR Status Report.
• Ensure Company processes are being followed that govern the management and protection of information assets, i.e. appropriate access to project data, documents and systems.
• Confirm data integrity audits are performed periodically as required to ensure data standards established for the project is being followed and that Contractors 3 month health checks are in place and are being managed by Leads
• Accountable for high level IM Rollout with Contractor to review IM contract requirements, apply IM and DFO Specifications specific to Contractor SOW
• Provide ongoing mentorship to project Lead(s) and for providing Systems Enhancement Training
• Engage and raise potential issues to Senior PIMC as required
• Consult and provide comments to Senior PIMC on WCMP IM specifications

Essential Skills / Qualifications:
• Comprehensive and extensive knowledge of project information management activities which includes strong knowledge of the Engineering / Procurement / Construction (EPC) project information lifecycle.
• A broad working knowledge of all related information management disciplines including, engineering design tools, document control, project controls, materials management, information technology, and construction, with a specific expertise in one or more of the disciplines
• A minimum of 10 years’ experience within the Owner or EPC industries, in a relevant role and with project execution experience and Site experience, is required
• Excellent verbal and written communications skills, including the ability to communicate effectively with the project management team, client management and field personnel.
