The Role:
To be the first point of contact for all visitors with a professional, warm and welcoming manner. To operate the switchboard and undertake general administrative duties in an efficient manner

Hours - Mon - Thurs 8.15am to 5pm and Friday 8.15am to 3.45pm (40 hours a week)

Switchboard & Hospitality
* Professionally and confidently ensure all telephone calls are answered and transferred promptly within 3 rings and passed to the correct person/team.
* Greet visitors and contractors in polite and professional welcoming manner
* Issue visitor and contractor badges and liaise with Maintenance Team Leader to ensure visitors and contractors are aware of site health and safety procedures. Ensure badges are returned at the end of the visit and that they sign out
* Ensure employees are made aware when their visitors arrive
* Maintain the refreshment facilities in the Reception area and main meeting room
* Support staff and visitors with travel booking (flights, taxis & hotels) in line with ABB policies and procedures
* Manage buffet orders as required
Facilitates / Security
* Operate security door and monitor the security cameras reporting any problems (with equipment or unusual activity) to the Maintenance Team Leader
* Follow company security procedures
* Process all incoming and outgoing mail
* Manage the franking machine and all other postal supplies
* Highlight and take ownership of any issues with the franking machine with provider
General Admin
* Ensure all phone lists and pigeon holes are maintained and updated with changes in staff
* Sort invoices and credit notes by customer and post out. Log cheques daily for credit control
* Filing warehouse pick lists for UK sales administration team
* Typing, printing, faxing, scanning, laminating for all departments as required
* Manage the stationary supplies in conjunction with the site Admin Assistant
* Maintain schedule of movements for key staff
* Ensure Reception procedures are maintained at all times
* Maintain good housekeeping practices within the Reception area and ensure that all functions are carried out in line with relevant procedures
* Other duties may have to be undertaken which will be determined by the Company, taking in to account the current level of responsibilities, experience and capabilities

Essential Skills / Qualifications:
* Excellent telephone manner
* You must possess the ability to work under pressure and remain calm and polite in all situations
* Professional and flexible approach
* Excellent attention to detail
* Good IT skills
* Good interpersonal skills, able to communicate with all personnel and levels within the company
* Understanding of organisational structure and company products
* Experience of switchboard
* Knowledge of outgoing mail operation
