The Role:
Attends to all telephone calls and enquiries in a prompt manner;
• Forwards and direct calls to the right person or responsible department;
• Ensures that prompt assistance is granted to callers and visitors;
• Takes and relays messages to the correct person ensuring that all required information is captured;
• Ensures that the front desk counter is manned at all times;
• Ensures that a professional image is portrayed to callers and visitors at all times;
• Provides refreshments to visitors as necessary;
• Follows up in the arrangement of business functions by seeing to the set-up of the meeting rooms and the refreshment arrangements;
• Ensures that the meeting rooms are well maintained and equipment are functioning properly;
• Assists in the booking of meeting rooms;
• Sorts and distributes mails to the relevant department and employees;
• Makes arrangements for distribution of documents to the site offices;
• Responsible for mailing out letters at the end of the day;
• Receives and forwards faxes to the correct person or department;
• Maintains records of all documents received by front desk and inter-departmental mail and documents;
• Maintains accurate records of postages used at all times and that the usage is properly accounted for;
• Makes arrangements for courier services and follows up on the invoices;
• Ensures that all staff contact numbers in the intranet is maintained up-to-date at all times;
• Assists in filling up timesheets, reimbursement claims and overtime hours of employee groups as assigned;
• Performs administrative, clerical and filing duties;
• Assists in manning helpdesk hotline and attending to requests;
• Assists in making appointments as required;
• Coverage of duties as assigned
