The Role:
Position Description
Maintain and ensure coverage of front office reception area. Perform all general office functions. Provide administrative support to all employees. Maintain corporate organization. Coordinate office meetings.

Essential Functions & Duties/Responsibilities:
* Greet/direct guests, coordinate meetings, answer phones, validate parking, sort incoming and attend to outgoing mail, stocking snacks and drinks daily, office supplies, etc.
* Corporate organization- prepare correspondence, perform data entry and prepare expense reports.
* Assist departmental assistants and all employees as needed with mail-merge and shipping, notices, board meeting preparation
* General office support- All printing needs (letterhead, business cards, envelopes, brochure shells), binder assembly, business card database upkeep/edits, shredding regularly etc.
* Catering and cleanup for working meetings, updating contact lists and pocket cards, birthday celebration coordination (cards, cake, decorations), reservations, periodic coffee runs.
* Ensure the security of the front door when vacant from the reception area
* Serves as floor Fire Warden.
* Ensures Aquarium Care/Plant care (feeding/watering during holiday periods).
* Printing and parking validation needs.
* Ensures office is secured prior to leaving every evening.
* Other duties as assigned and deemed necessary by management

Essential Skills / Qualifications:
* 4+ years of Receptionist experience
* Proficient in Word, Excel, PowerPoint and Outlook
* Professional communication and customer service skills
