The Role:
Account coordinator works on the day-to-day operational aspects of recruitment in the office. This includes but is not limited to; renewing Purchase Orders, Work orders, contract drafting, contract amendment, negotiations with clients and contractors on agreed rates.

The role functionally reports to the Team Lead Account Coordination & Operations and is situated between the recruitment team and the finance team in the operational division as a liaison between front and back office. In addition, account coordinator is responsible for contractor management and customer service to both client and candidate side.

The tasks will be approximately divided as follows:
• 50 % Support to the Recruitment Team
• 40 % Support to Management Team
• 10 % Support with finance and pay roll activities during their peak monthly activities

1. New contractor mobilization (Contract and Perm Recruitment / Client referrals*)
• Initiates & monitors Contractor files for pre-mob and ongoing documentation; revision control and accurate filing.
• Proactively advertises for LMO requirements and initiates Work Permit Documentation, ready for Management at time of filing.
• Initiates & monitors pre-mobilization requirements e.g. background check, A&D test, any client-specific needs. Plans and schedules for annual retesting (shared calendar).
• Receives approved RBU and prepares Client proposal documents (e.g. “work order”) for Management approval.
• Prepares Contractor Agreements for Management approval.
• Initiates & monitors Contractor Travel arrangements for mobilization and demobilization, rotations, business trips, and ensures Client policies are adhered to.
• Assures travel costs and other expenses are recorded for appropriate invoicing by reconciling credit cards
• Initiates & monitors timely delivery of Contractor welcome packages
• Administers company Employee Health and Benefits plan within Canada

2. Primary Customer Support for Contractors and may include Client interface
• Advises Contractors when payments have been released (liaise with Accounting).
• Confirms & monitors Work Permit expiry dates, proactively initiates documentation and advertising for LMO renewals.
• Confirms & monitors renewal dates for A&D tests, background checks, etc.
• Monitors contractor birthdays and other events and ensures timely delivery of gifts.
• Key coordinator for annual Contractor events (e.g. Stampede Party).

3. Contractor demobilization
• Coordinates with Management, Recruitment, Contractor, and Client.
• If Contractor not to be renewed, completes Hot List process for Fircroft retention.
• Ensures Client requirements and Policies are met.
• Initiates & monitors timely delivery of demob package.

4. Recruitment and Management Support
• Monitors and assures quality of candidate formatted resumes for client submission
• Relief recruitment as necessary
• Coordinates with Management for redirection of duties during Team member absences
• Social media liaison for Fircroft Canada

Essential Skills / Qualifications:
Key Attributes/Skills
• Minimum 2 years post-secondary qualification
• Experience in a commercial recruitment environment highly preferable
• Demonstrated proficiency in Microsoft Office 2007 and 2010
• Quick and accurate data entry, electronic filing and document control
