The Role:

Key Accountabilities:
• Act as the initial point of contact for the Upstream business and hiring managers /HR for all recruitment activity and questions.
• Contribute to the success of the wider Upstream Resourcing Team through participation in cross-team projects
• Focus on continuous improvement in relation to efficiency of administrative tasks and process improvement
• Support the recruiters to effectively manage the administrative process of a portfolio of requisitions (internal and external) with a focus on direct sourcing and diverse candidates
• Ensure that all RSCP (Recruitment Segment Common Process) and Internal Deployment Segment Common Process (IDSCP) steps are systematically followed and tracked and that corresponding HR statuses are updated in a timely manner in the Applicant Tracking System (TAS) and are fully compliant with the Upstream Resourcing Governance approval process for all Upstream roles
• Responsible for logistics and administration of interviews, which could include Lync calls, HireVue, videoconferencing, setting up Psychometric Testing, assessment days, and other events for candidates.
• Ensure accurate completion of requisitions and generation of offer documentation.
• Monitor and track pre-employment processes, intervening with business facing HR team/International Mobility and/or candidate to resolve any concerns or delays and close requisitions once candidate(s) have been hired.
• Partner with Recruiters to ensure candidates and key stakeholders are proactively managed and kept up-to-date throughout each stage of the process.
• Work closely with other local/domestic and cross-country recruitment teams to hand off and receive candidates at offer stage, ensuring country-specific offer processes are completed accurately.
• Work with recruiters, business-facing HR, line managers, and People Service Centre to ensure new hire information is set up correctly in SAP.
• Responsible for ensuring quality candidate experience throughout the process in-line with Candidate Charter and ensures all documents provided for candidate interviews include safety, campus and all appropriate travel information
• Book candidate travel and overnight accommodation with Hiring Manager approval using preferred suppliers CWT etc
• Process candidate expenses in a timely manner and following appropriate approvals
• Ensure adherence to values and policies, as well as applicable local and statutory employment legislation.
• Responsible for booking team meetings, general administration including printing and filing.
• On point for booking travel, scheduling meetings and processing expenses for the aligned Recruitment Director
• Act as a SPA for internal recruitment and developing capability to interview for internal deployment roles.
• Conduct behavioural interviews if required for internal deployment roles
• Act as a TAS Champion
• Focal point for interview records
• Adhoc data management/analysis and reporting

Essential Criteria
• Degree qualified or equivalent experience.
• Strong communication skills coupled with the ability to engage multiple stakeholders based globally is key.
• Ability to multi-task, to define and manage conflicting stakeholder priorities as well as managing complex, often conflicting diaries.
• Accuracy and attention to detail are essential
• Demonstrate high energy and be driven by delivering at the highest level working frequently under pressure with minimal supervision requiring the need to self-manage as well as the desire to work collaboratively within a small team.
• Discretion is essential as the role involves handling and processing sensitive, highly confidential information ensuring the Code of Conduct & Data Privacy Legislation is upheld at all times.
• Exposure to Applicant Tracking/CRM systems is a must (utilise IBM BrassRing)
• Previous Work Experience:
o Experience of an administrative role in a fast-paced transactional environment
o Experience of working in a Recruitment or Human Resources department
o Experience of engaging stakeholders in a complex global environment with the ability to communicate in a professional manner.
o Experience working in a corporate environment.
