The Company:
Our major Oil & Gas Client is in need of a RIM (Records Information Management) Administrator in Searcy, Arkansas.

The Role:

The RIM Administrator’s primary role will be to provide and maintain the Fayetteville Production Unit (FPU) Records and Information Management (RIM) services.

• Support the provision of an effective Records and Information Management service to the personnel within the FPU.
• Drive the implementation of Petroleum RIM Core Controls and Policies within the FPU Teams.
• Act as a key advisor to the Searcy-based FPU team with regard to the use and development of collaboration tools.
• Provide an effective internal and external document control service.
• Be the first point of contact for all Searcy-based FPU RIM related inquiries.

Sustainable Development, HSEC and Business Conduct:
• It is a primary requirement that employees comply with the Sustainable Development Policy and HSEC Management Standards and Guidelines, Guide of Business Conduct, and the Production Unit Standards and Procedures.

The RIM Admin will be measured against the following key result areas.

• Effective HSE practices and contribution to a safe working environment.
• Compliance with GAS Audit standards and the Petroleum Controls Framework.
• Support and delivery of Information Management services that are consistent with the requirements of the FPU and meet all regulatory and HSEC objectives.
• Support and implementation of the Petroleum RIM processes and standards.
• Control & coordination of all information repositories, ensuring that their function and utilisation are clearly understood within the business.
• Effective utilisation of collaboration tools such as Microsoft SharePoint, Documentum, etc.
• Provision of an effective document control service for the Project team.

The RIM Admin role will be expected to liaise and co-ordinate with the following roles as required.

• Responsible to:
o FPU IM Manager

• Key Interfaces:
o Other Information Management colleagues
o Group and Petroleum IM Teams
o Documentum development & support staff
o Project managers and team leaders
o All FPU staff


o Ensure Information Management for the FPU is supported as per the Petroleum RIM Policies.
o Attend regular forums of the FPU in order to promote Information Management and collaboration tool usage and identify business problems and opportunities.
o Provide end user awareness and training in the use of Documentum and document control process and procedures.
o Implement fit for purpose solutions within fixed time periods.
o Keep abreast of developments in the Information Management market place in order to maintain/promote free interchange of knowledge, information, skills and ideas across Client.
o Establishing and maintaining good working relationships with the FPU and Functions.
o Prioritising between local and regional initiatives.
o Liaising with other project teams and associated vendors.
o Providing practical advice to the project teams in the areas of unstructured data management whilst acknowledging best practice.
o Undertake all FPU document control daily activities, such as archive / retention requests, hardcopy records management, Documentum access requests, distribution of controlled drawings and issuing controlled document numbers.
o Play an active part in the wider IM Team.
o Travel to project stakeholder offices to spend time with teams and individuals and attend to their needs.
o Accept other responsibilities that apply to FPU especially around Health, Safety, Environment and Community.
o Implement and enforce global, regional and local document control standards.
o Implement and adhere to requirements of RIM Group Level Documents (GLD) and Petroleum Business Critical Documents (BCD).
o Participate in the Global RIM Administrator forums and regular IM information sharing sessions.
o As required provide support to Functional teams (e.g. HSE, Engineering, Operations) during activities such as GAS Audit preparation and audit requests for information or project activities, which require assistance with structured and non structured data management.

Essential Skills / Qualifications:

o Experience in an Information Management position.
o Experience of office systems and team working.
o Ability to gather meaningful user requirements.
o Analysis of User Requirements to assist in defining a solution.
o Customer awareness.
o A high degree of IT literacy.
o Willingness to travel.
o Experience of using the Documentum system.


o A qualification in Information Management or related discipline.
o Experience of development and operational environments in a controlled industry.

• Requires an understanding of the role and requirements of Information Management within a controlled industry.

• Problem analysis and solving ability, with the ability to work under pressure and to tight deadlines.

• Enthusiasm and motivation to ensure that Information Management is utilised and valued appropriately within the business. Also demonstrate the ability to open up opportunities for IM to add value to the business.
